What are the responsibilities and job description for the Clinic Coordinator position at Anthurium?
Anthurium is a small practice providing complex care, with complex scheduling and care coordination needs. Services are provided in a concierge model that emphasizes top tier clinic management of complex illness, which requires a high level of professionalism and courtesy for staff.
The Clinic Coordinator (CD) will work full-time, Monday through Friday, from approximately business open to business close. Typical hours would be 8:30a – 5:30p. The appropriate candidate will have a background or strong interest in health care, and will demonstrate competency and compliance in safety, HIPPA and compliance efforts. Due to our small size, tasks will include typical reception, patient scheduling, care coordination and office support work. Candidates will in useful skills for their careers in health care and work under the supervision of the Director of Business Operations, an experienced health administrator. The CD serves as a liaison between the clinic, patients, families, referring physicians, and external agencies and partners.
Salary commensurate on experience, in range of $20.00/hr to $30.00/hr.
Anthurium does not currently offer a benefits package, but incumbents will enjoy 15 business days of PTO (equivalent to 3 weeks). Though we do not have formal hours off for holidays, the team has adopted a culture of flexibility around personal and holiday needs.
RESPONSIBILITIES
Reception Work
- Greet patients warmly as they arrive in the clinic and ensure their needs are met.
- Answer telephone calls, take messages, and route as appropriate.
- Assist in purchasing and maintenance of office supplies.
- Answer emails, and route as appropriate.
- Check in patients and assist guests as needed, including distribution of appropriate forms.
- Ensure the security of the entrance at clinic open and close, unlocking and locking doors as per clinic hours.
Patient Scheduling
- Assist in the build, scheduling and maintenance of provider templates.
- Assist new patients with information needed, scheduling, and wait-list maintenance.
- Understand services provided in-clinic, and where needed, assist in the development of and execution of workflows.
- Exercise problem-solving and conflict resolution skills for patients frustrated by scheduling policies or constraints.
Patient Care Coordination
- Assist with the build and maintenance of EHR features that allow and improve patient care coordination needs.
- Assist in the creation and maintenance of patient registries that allow coordination of care for specific patient populations and services.
- Prepares charts and accounts daily as needed, verifying receipt of necessary records, treatment materials, and staffing.
- Anticipate and identify the advanced needs of patients, and act on them as needed (e.g. scheduling an interpreter, mobility needs, etc.).
- Provide clinic charges to current and prospective patients, maintaining a cash collection system for patient deposits/payments and management of self-pay patients.
- Facilitate ongoing communication to established patients regarding scheduling, missed visits, or loss to follow-up.
Clinic Administrative
- Perform administrative office functions and office duties including but not limited to: word processing; copying; filing; faxing; and data entry.
- Know protocols for emergencies and respond appropriately (e.g. call fire department, police, property owner, handyman, etc.).
- Assist in coordinating and actively participating in clinic huddles/meetings. Document and distribute minutes as need.
- Assist in the tracking, distribution and payment of bills and services related to patients and patient care.
- Role will require occasional errands outside of the clinic for urgent or atypical needs, which requires a valid driver’s license and access to a vehicle.
- Assist team members as needed with systems and resources used by and in clinic.
Qualifications
Excellent verbal and written communication skills; Proficiency with office production software.
Desired: prior experience in a health care setting, such as front desk work.
