JOB DESCRIPTION

Summary/Objective

The Administrative Assistant provides a broad range of support for the Association. The Administrative Assistant will be experienced at word processing, letter writing, phone, email, copiers and computers. He or she will cultivate effective professional relationships with staff, volunteers, exhibitors, Board of Directors and partner museums/organizations volunteers while maintaining confidentiality.

Essential Functions

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Perform secretarial duties (typing, phone calls, emails, collect and sort mail) for the Board President, General Manager (or others if requested by Board President or General Manager) to maintain/increase organizational efficiency.

Data entry using an electronic databasefor memberships, donations and other purposes. Responsible for creating, maintaining and updating the database for membership fees, sending communications, etc..

Support special events such as the Great Oregon Steam-Up and other APMA sponsored events, to help ensure a professional event. Register and meet participants at the event. Be the on-site point person for questions during the event. Support all APMA sponsored event managers however help is needed prior to the event.

Other duties as assigned.

Supervisory Responsibility

This position has no direct staff supervisory responsibilities.

Work Environment

This job operates in a casual professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing.

WORKING CONDITIONS:

Mental Demands: Reading, ability to communicate effectively (verbal and written); maintain emotional control under stress.

Physical Demands: Standing, sitting, stooping, bending and lifting items up to 40 lbs. Occasional prolonged, irregular and holiday hours.

Position Type and Expected Hours of Work

This is a permanent part-time position, Monday through Friday, 8:30 am - 12:30 pm or a negotiated consistent four-hour daily period, during APMA’s off season (October 1 – March 31). During APMA’s open season (April 1 – September 30) the days change to Wednesday – Sunday, to coincide with the open hours of the Museum. Weekend work frequently may be required as job duties demand.

Travel

Travel is primarily local during the business day, on occasion.

Required Education and Experience

1. Must have a minimum of a high school diploma.

2. Two years or more of successful work experience in this or a related field.

Preferred Education and Experience

1. Must have proven computer skills including Microsoft Word, Excel and some data entry, creation of posters, flyers, tickets, etc., social media skills preferred. Some advertising media creation helpful.

2. Must have proven positive interpersonal skills including the ability to maintain confidentiality.

3. Must have proven editing skills emphasizing attention to detail.

Additional Eligibility Qualifications

None required for this position.

Work Authorization/Security Clearance

Must pass a criminal background check.
