The Corporate Contracts Administrator is responsible for supporting the preparation, review, and administration of contracts to ensure compliance with corporate policies and legal standards. This role focuses on the efficient execution of day-to-day contract tasks, working closely with project teams and stakeholders to ensure smooth contract workflows. While the scope of work is foundational, the position contributes significantly to risk identification, record management, and process improvement.
This role is ideal for a detail-oriented professional looking to build experience in corporate contract management while supporting projects and contributing to the success of the firm’s operational goals.
Primary Responsibilities:
- Drafting, reviewing, and processing contracts under supervision.
- Assisting with administrative tasks such as tracking contract approvals, amendments, and renewals.
- Ensuring contracts comply with company policies and legal standards.
- Supporting project teams with contract documentation, correspondence, and organization.
Scope: Focuses more on the day-to-day contract management tasks.
Key Responsibilities:
Contract Drafting and Review:
- Assist in drafting, reviewing, and processing contracts, subcontracts, amendments, and other related documents.
- Ensure standard terms and templates are applied correctly and escalate deviations for senior review.
Contract Administration:
- Maintain and organize contract records, ensuring key dates, deliverables, renewals, and obligations are tracked.
- Support timely execution, approval, and storage of agreements in the centralized contract management system.
Compliance and Risk Monitoring:
- Assist in identifying basic risks and inconsistencies in contract terms; escalate complex issues to senior staff.
- Ensure contracts adhere to company policies, legal requirements, and project goals.
Stakeholder Support and Collaboration:
- Act as the point of contact for contract-related inquiries for project teams, vendors, and clients.
- Collaborate with legal, finance, and procurement teams to resolve day-to-day issues and questions.
Process Improvement and Reporting:
- Contribute to updating contract templates, procedures, and best practices as directed by senior staff.
- Assist in generating contract status reports and identifying key metrics for review.
Team Collaboration:
- Support senior contract administrators and project teams by providing administrative assistance and ensuring workflows are maintained efficiently.
- Participate in contract-related training and process improvement initiatives.
Qualifications
- Bachelor’s degree in business administration, legal studies, or a related field.
- 2-5 years of experience in contract administration or similar role, preferably in a corporate or AEC setting.
- Basic understanding of contract law and standard contract terminology.
- Excellent organizational skills with attention to detail and the ability to prioritize tasks effectively.
- Strong verbal and written communication skills for stakeholder interaction.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with contract management software is a plus.
- Ability to work collaboratively in a team-oriented environment and escalate issues as needed.
