POSITION OVERVIEW
Upstate Elevator is Vermont’s leading brand of Cannabis infused edibles, flower, and beverages. Founded in 2017, the Burlington-based company is family owned and operated and is distributed nationwide. Upstate Elevator’s mission is to elevate mind and body, and to make people feel good, by reuniting with the Cannabis plant.
As the Administrative Coordinator, you will support day-to-day operations at the Upstate Elevator Flagship Store including inventory, compliance, accounting, and other administrative tasks. This role will work closely with the inventory and accounting teams to streamline processes and improve efficiency.
Strong attention to detail, organization, and a positive attitude are essential to success in this role. INVENTORY/COMPLIANCE RESPONSIBILITIES:
- Support the receiving process by verifying incoming shipments against purchase orders and invoices.
- Inspect received goods for quality, quantity, and proper documentation, ensuring all items are in good condition.
- Regularly stock the real floor to ensure adequate inventory levels.
- Update inventory systems promptly with received stock and reconcile any discrepancies.
- Organize received inventory in designated storage areas and ensure proper labeling and categorization.
- Communicate with vendors and suppliers to resolve any issues with received goods, such as damaged or incorrect shipments.
- Ensure production jobs processes are completed with accurate batch info.
- Support daily and weekly inventory cycle counts.
- Support compliance with state and federal cannabis regulations; maintain accurate records of visitor logs, manifests, COAs, product registration, sample log, and other compliance documentation.
ACCOUNTING RESPONSIBILITIES:
- Review and verify invoices and receipts for accuracy, matching them to purchase orders and delivery receipts.
- Code invoices with the appropriate account numbers and categories for proper financial tracking.
- Organize and file invoices, receipts, and other related financial documents in accordance with company policies.
- Responsible for making bank deposits and handling administrative errands, including delivering documents, picking up supplies, and assisting with general office tasks to ensure smooth daily operations.
JOB REQUIREMENTS & QUALIFICATIONS
- High school diploma or equivalent required; Associates 's degree in Accounting, Business Administration, or a related field preferred.
- Previous experience in an administrative role, with a strong emphasis on accounting or finance tasks (1-2 years preferred).
- Exceptional attention to detail with the ability to manage multiple tasks and deadlines efficiently.
- Familiarity with accounting processes, such as accounts payable/receivable, invoicing, and reconciliations.
- Experience with accounting software is a plus.
- Proficient in Microsoft Office Suite, particularly Excel for financial reporting and analysis.
- Experience with data entry and maintaining accurate records.
- Strong written and verbal communication skills to interact effectively with team members, vendors, and clients.
- Ability to lift 25lbs or more on a regular basis.
- Willingness to learn new tools, systems, and software.
