POSITION SUMMARY
Apex Skin is a rapidly growing skincare facility dedicated to empowering employees to deliver exceptional patient experiences. We are currently looking for talented candidates for the role of Accounts Receivable Specialist.
Responsibilities of this role include:
- Managing claim holds and scrubbing claims before submission to third-party clearinghouses.
- Handling accounts receivable (A/R) aging, denials, appeals, and resubmission of claims involving coordination of benefits (COB).
- Working directly with patients and their families to ensure they understand EOBs.
- Scrubbing and submitting medical claims to the appropriate insurance parties, ensuring timely follow-ups to meet payor deadlines for additional requests.

ESSENTIAL FUNCTIONS
- Collaborate with providers, front office staff, and third-party billing vendors to ensure proper check-out procedures for patients.
- Maintain extensive communication with the revenue cycle team to ensure accurate financial workflows.
- Review and analyze electronic and paper insurance claims daily to ensure timely submission.
- Resolve claim rejections from clearinghouses or insurance companies within 24 hours.
- Generate CMS-1500 forms when needed.
- Follow up on unpaid claims and generate weekly A/R aging reports.
- Maintain detailed computer office notes to provide clear audit trails.
- Update patient insurance information to guarantee accurate billing.
- Provide exceptional customer service to patients with account statement inquiries.
- Communicate effectively with patients and insurance companies about sensitive financial matters.
- Submit invoices, medical reports, and patient notes to insurance companies for payment collection.
- Assist with answering phones and collecting payments.
- Perform additional duties as assigned.
REQUIREMENTS
- Knowledge of healthcare systems, including medical practice clinical and administrative operations.
- Understanding of medical billing and A/R principles, ICD-10, and CPT coding.
- Familiarity with medical terminology.
- A minimum of five (5) years of billing/collections experience in a clinic or physician practice setting.
- High school diploma required; formal billing education preferred.
- Strong knowledge of insurance plans, including Medicare and Medicaid.
- Certification from an AHIMA or AAPC-approved billing program (required).
- Proficiency in software, including Microsoft Office, Outlook, and Teams.
- Experience with electronic practice management systems; ModMed experience is a plus.
- Strong time management, prioritization, and communication skills.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
- Physical Demands: Primarily sedentary, with some walking or standing. Stooping and bending to access files and lifting up to 20 pounds may be required.
- Work Environment: Hybrid setting, combining remote work and in-office responsibilities. Frequent interactions with individuals from various backgrounds. Minimal exposure to communicable diseases. Noise levels are typically moderate.
