Now Hiring: Business Office Manager – Private Duty Home Health
Are you a detail-oriented and organized professional with experience in billing, QuickBooks, and office management? We are looking for a Business Office Manager to join our growing private duty home health company. This role is essential in ensuring accurate billing, financial operations, and efficient office processes to support our clients and caregivers.
Responsibilities:
Billing & Payments:
- Oversee all aspects of billing, including applying credits/charges, creating invoices, and processing payments
- Manage payments for private pay, third-party, VA, Care.com, and long-term care (LTC) clients
- Ensure all clients are invoiced correctly and no accounts are missed
QuickBooks & Financial Management:
- Integrate new clients from WellSky into QuickBooks
- Apply prepay credits in QuickBooks after billing is completed
- Export and deposit VA payments, researching discrepancies when needed
- Process payments for clients who are couples and use the same payment method
Accounts Receivable & Compliance:
- Conduct billing and receivables checkup, including applying missed credits, tracking outstanding balances, and following up on declined or returned payments
- Prepare and complete accounts receivable (AR) reports
- Ensure accurate authorization of mileage for Care.com clients
Long-Term Care (LTC) & VA Processing:
- Set up new LTC clients, create fax cover sheets, and submit AHCA & POC documentation before services start
- Create and submit weekly LTC submittals
- Follow up with TOMs regarding payment issues
Qualifications:
- Experience in business office management, medical billing, or accounting (home health or healthcare experience preferred)
- Proficiency in QuickBooks, WellSky, and financial reconciliation
- Strong attention to detail with the ability to manage multiple billing streams
- Excellent communication and organizational skills
- Ability to work in a fast-paced, deadline-driven environment
