Payroll & Benefits Associate

Apollon Wealth Management is seeking an experienced Payroll & Benefits Associate who will oversee and supervise the payroll functions of the organization, ensuring pay is processed on time, accurately, and in compliance with government regulations.
Duties and Responsibilities :
- Process and oversee the preparation of semi-monthly payroll for all employees.
- Ensure accurate and timely processing of payroll updates, including new hires, terminations, changes to pay rates, and changes in benefits.
- Research, set up, and maintain payroll tax accounts for new tax jurisdictions as required for employees in different states.
- Monitor tax notices and collaborate with payroll providers and tax agencies to resolve issues promptly.
- Prepare and maintain accurate records and reports of payroll transactions.
- Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Facilitate audits by providing records and documentation to auditors.
- Perform regular reconciliations of payroll-related accounts to ensure accurate reporting and compliance.
- Coordinate year-end payroll activities, including issuing W-2s and ensuring proper tax reporting.
- Identify and recommend updates to payroll accounting software, systems, and procedures.
- Generate and analyze payroll reports to provide insights for HR and Finance team.
- Provide training to employees on payroll tools and processes, including tax forms (e.g., W-4 updates).
- Educate employees on available benefits and assist with open enrollment.
- Process monthly benefit audits and ensure accuracy of deductions from payroll.
- Liaise with benefits providers to resolve issues or discrepancies.
- Conduct benefits orientation for new hires and support offboarding processes related to payroll and benefits.
- Support administration of Family and Medical Leave Act (FMLA), state leaves, and other employee absences.
- Stay informed about changes in laws affecting benefits and adjust processes accordingly.
- Ensure company policies related to benefits are up-to-date and communicated effectively to employees.
- Maintain and update standardized process documents for payroll and benefits operations, ensuring consistency and clarity in workflows.
- Manage relationships with payroll and benefits vendors, ensuring effective communication and issue resolution.
- Perform other duties as assigned.
