Job Overview
We are seeking a dedicated and detail-oriented Payroll Specialist to join our team. The Payroll Specialist will be responsible for ensuring accurate and timely processing of payroll for all employees. This includes managing payroll data, resolving discrepancies, adhering to tax regulations, and maintaining confidentiality. The ideal candidate will have a strong background in payroll systems, compliance with federal and state regulations, and exceptional attention to detail.
Key Responsibilities
Payroll Processing: Accurately process payroll for all employees on a regular schedule (weekly, bi-weekly, or monthly).
Data Entry: Input and maintain employee records, including hours worked, deductions, and benefits information.
Compliance: Ensure payroll procedures are in compliance with federal, state, and local laws and regulations, including tax filings and wage garnishments.
Reports: Generate and review payroll reports, such as tax filings, benefit deductions, and general ledger entries.
Discrepancy Resolution: Address and resolve payroll discrepancies or concerns raised by employees in a timely manner.
Tax Filing: Prepare and file payroll taxes and related reports, including quarterly and annual tax forms (e.g., 941, W-2, W-3).
Benefits Administration: Manage and track employee benefits deductions and adjustments.
Confidentiality: Ensure the confidentiality and security of employee payroll information.
System Maintenance: Update and maintain payroll software or systems with accurate data and employee changes.
Communication: Serve as a point of contact for payroll-related inquiries from employees and external parties (e.g., government agencies).
Qualifications
Proficient in Microsoft Excel (sorting, exporting files), Outlook, Teams, and Word
Experience with weekly payroll processing
Strong 10-key skills
Knowledge of California Payroll Laws
Bilingual skills preferred
Prevailing Wage experience preferred, but not required
