The Appleton Area School District has a position available for a 1.0 FTE (100%) Administrative Assistant (12-months) in the Student Services/Special Education Department beginning in February 2025.
Responsibilities, Duties & Tasks but are not limited to:
- Supports Associate Director of Special Education
- MA Billing
- Managing consent received
- Staff training
- Check on billing being completed for Paras, SLPs, Psychs, and SWs
- Enter transportation billing
- Accelify main contact/coordination
- Speech evaluation and IEP reviews
- 17/18-year-old letters
- Order tests and protocols for SLP, and distribute as needed
- Support Speech and Language Program Leader and Speech and Language Pathologists
- 3rd party requests
- SSI
- Community Agencies
- Graduates/Aged out
- Annual mailing/electronically
- Projections/Enrollment spreadsheet
- Monitor student services email account/fax number
- Expired IEP report and email to staff (full district)
- Annual special education file review
- Other duties as assigned
Qualifications:
- Minimum of a high school diploma or GED/HSED
- Skill in typing accurately at a sustained rate of 45 words per minute
- Proficiency with Microsoft Office such as Word, Excel, Outlook, and PowerPoint, as well as District software (i.e. Infinite Campus, eduClimber, Skyward, etc.)
- Ability to work cooperatively in a team-oriented, task sharing environment and maintain positive working relationships with co-workers, the public, and staff
- Strong oral and written communication skills, clear and courteous in communications with public and District personnel, and adept at handling inquiries and providing information via phone and in-person
- Functional knowledge of business English, grammar, spelling, and punctuation and office equipment
- Ability to analyze material to prepare routine reports and correspondence
- Ability to maintain strict confidentiality regarding sensitive information
- Ability to work independently and problem solve daily situations in a fast-paced work environment
- Successful in performing duties both independently and as a team
- Organizational skills as applied to ongoing projects, filing, records organization, task coordination
- Detail-oriented, self-starter with the ability to organize and adjust to changing priorities and deadlines
- Minimum of one year experience dealing with customer service (or similar experience) in a team environment preferred
