We are seeking a highly organized and proactive Assistant Office Manager to oversee daily operations and ensure the smooth functioning of our Morgantown office. The ideal candidate will have strong administrative skills, a keen eye for detail, and the ability to manage multiple tasks efficiently. Basic accounting experience is beneficial but not required upon entry.
Responsibilities:
- Oversee day-to-day office operations, including managing schedules, coordinating meetings, and maintaining office supplies.
- Provide administrative support as needed, including data entry, filing, and other clerical tasks.
- Handle billing, invoicing, and financial record-keeping
- Manage the mailbox and handle all incoming phone calls
- Manage and update client records and confidential information in compliance with privacy regulations.
- Coordinate office maintenance and liaise with service providers as needed.
- Implement and maintain office policies and procedures to enhance operational efficiency.
- Support management in various administrative tasks, including report preparation and project coordination.
Skills and Qualifications:
- Minimum of 2 years of experience in an office management or administrative role.
- Minimum High School Diploma, Associate’s Degree or Bachelor’s Degree preferred
- Proficiency in Google and office management software.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive information with confidentiality.
- Previous experience in a healthcare or counseling environment is a plus.
- Flexibility in scheduling and additional tasks as needed.
- Ability to commute to Morgantown PA 3 times per week.
