Position Description
The Associate II position on the Clinical Development Operations team is vital for managing projects in support of the Product Management and Market Implementation teams. This role involves coordinating site visits for healthcare providers, managing consultant engagements and contract renewals, organizing cadaver labs and onsite support, and identifying process improvement opportunities to continuously streamline our processes. The Associate II will collaborate with various departments across the company, to ensure projects are successful. They will engage with team members or stakeholders to facilitate organized, onsite meetings while contributing to the development of documented procedures. Key Responsibilities:
- Project Coordination: Ensure all activities related to site visits, consultant engagements, cadaver labs, and other projects are implemented effectively. This includes building and maintaining relationships with various teams, developing project timelines, setting milestones, facilitating timely follow ups, collecting feedback to enhance processes, and ensuring resources are allocated appropriately to meet project goals effectively.
- Administrative: Coordinate site visits, consultant engagements, cadaver labs, and other activities by creating agendas and addressing all logistical details, including travel and meal arrangements. Attain a high-level understanding of procedural or product focus to facilitate effective product display set-up and lab equipment readiness. Schedule and conduct meetings with team members and stakeholders, documenting key decisions and action items to ensure accountability and clear communication when project objectives are achieved.
- Communication: Identify and engage appropriate stakeholders within the Clinical Development team and all other relevant stakeholders to disseminate information and updates. Ensure that all necessary parties are informed and involved in decision-making processes, as needed.
- Process Development: Identify areas of efficiency during daily activities. Contribute to the creation of desk procedures, documentation, or training content that enhance the efficiency of Clinical Development or Applied processes. Ensure that documentation is accurate, accessible, and regularly updated.
- Mentoring: Assist in mentoring team members to foster their professional development and enhance the overall effectiveness of the team.
Performance Objectives:
Within your first 30 days:
- Complete all Standard Operating Procedures and Applied Learning foundational courses with a passing grade of 100%, demonstrating rapid integration into company processes.
- Complete product training courses demonstrating understanding of Applied’s medical devices and surgical procedures.
- Actively participate in team meetings and operations, contributing valuable insights and ideas to at least three team discussions.
Within 60 days:
- Achieve at least two project milestones ahead of schedule, showcasing a deep understanding of role processes and projects.
- Take ownership of low to moderately-guided projects, ensuring progress to the next phase, demonstrating initiative.
Within 90 days to one year:
- Manage a minimum of three on-going projects and lead one larger scale initiative.
- Cultivate strong interpersonal connections and effectively identify all internal and external stakeholders involved in your projects.
- Mentor and guide Interns or Associate I team members to demonstrate your mastery of foundational skills while providing valuable support to entry-level team members.

Position Requirements
- One to three years of experience in administrative role, project management, or relevant experience.
- Knowledge of project management and process improvement theories.
- Proficient with Microsoft Office 365 programs, including but not limited to, Word, Excel, PowerPoint, Outlook, and OneNote.
- Willingness to travel, if needed.
- Excellent verbal and written communication skills.
