Summary
We are seeking a proactive and detail-oriented Facilities Coordinator to support the daily operational needs of our facility. This role is key to ensuring smooth procurement, maintenance scheduling, vendor coordination, and site upkeep. The ideal candidate will be highly organized, able to multitask, and capable of working across departments to maintain high operational standards.
Responsibilities
- Create and manage purchase requisitions (PR) for equipment, tools, and materials.
- Coordinate and follow up with the purchasing department regarding PRs and order fulfillment.
- Prepare and submit Service Completion Certificate (SCC) forms.
- Schedule and follow up on preventive maintenance services.
- Monitor the ticketing system and ensure timely completion of service requests.
- Research and source equipment, materials, and tools online to support operational needs.
- Conduct facility site observations and ensure the aesthetic upkeep of the site, including landscaping.
- Review and maintain daily work reports and activity logs.
- Inspect lighting systems (luminaires) to ensure proper operation and scheduling.
- Work with lawn care company to maintain landscaping.
- Assist and support technicians with their daily tasks and assignments.
- Communicate effectively with vendors and sales representatives to coordinate services and resolve issues.
- Manage the assignment and upkeep of employee lockers.
- Office keys management.
- Handle ad-hoc errands, including the pickup of materials as needed
Qualifications
- Bachelor degree in Engineering, or similar discipline
- High school degree required.
- Previous experience in facility operations, administrative support, or a similar role preferred.
- Strong organizational and communication skills.
- Ability to multitask and work independently in a fast-paced environment.
- Basic knowledge of procurement processes and maintenance scheduling is a plus.
- Proficiency in using computers and productivity software (e.g., Excel, ticketing systems).
Work Environment
- This role may require occasional lifting, standing, and working in various environmental conditions.
- May involve on-call responsibilities for urgent maintenance issues.
Location
