Job Overview
Manage finance and accounting functions providing information, primarily financial in nature, about all company activities that will assist management, its shareholders and other users in making educated economic decisions about the company's future. This position includes both bookkeeping and controller tasks, as outlined below.

Duties

  • Oversee the activities of the companies’ accounting and bookkeeping for the accurate and timely dissemination of financial management reports including, but not limited to, internal and external monthly financial statements and annual audits and annual budgets.
  • Manage the bookkeeping activities, ensuring the accurate and timely processing of accounts payable, purchase orders, petty cash, core employee expense reports, & cash control. Additional bookkeeping responsibilities to include:

a. Construction project accounting from initial setup, change orders, and project close out documentation.

b. Update data/keep current data in Sage including contracts, change orders, subcontracts, and vendor information.

c. Construction cost and budget tracking.

d. Documentation for pay applications, job cost invoices and budget review with Project Managers.

e. Work with Project Managers to oversee project cost and cost control measures.

f. Review project profitability through regular assessment and provide suggestions for maximizing profitability.

g. Review incoming invoices with subcontracts.

h. Input payables and process payments including lien waivers.

i. Collect, record, and follow-up on lien waivers.

j. Process month-end client billings including calling for subcontractors’ invoices, updating cost sheets, and creating invoices and draw forms.

k. Process receivables and bank deposits.

  • Oversee the activities of the accounts receivable processes to ensure the accurate and timely management of all accounts receivable aging components including billings, cash receipts application, etc; funding service management, which includes weekly invoice tracking reports and customer service; quarter and year-end payroll closing including federal and state reports (verification of the outsourced process, and relay relevant data to various stakeholders); and check statistic management.
  • Assure corporate income tax compliance to assure the accurate and timely completion of all corporate income tax returns taking full advantage of all favorable tax codes.
  • Establish and maintain systems and controls that verify the integrity of all systems, processes and data, and enhance the company's value (a future project may include involvement in project management software and/or change/upgrade in accounting software).
  • Respond to owners as assigned with accurate and timely work to facilitate their financial needs.
  • Participate in a wide variety of special projects and compile a variety of special reports, including Work in Progress (WIP) reports.
  • Communicate with co-workers, management, clients and others in a courteous and professional manner.
  • Conform with and abide by all regulations, policies, Lean processes, and instructions.
  • Attend regular management meetings and provide updates on financials.
  • Prepare and provide Lean Meeting agendas and conduct meetings.

Required Education and Experience

  • Bachelor's degree in Accounting or Finance
  • 2-5 years of hands-on accounting experience
