Overview:
The Events Coordinator is responsible for logistics support for meetings of AprilAire employees and customers. This includes organizing meeting agenda/schedule; meals, activities and transportation; ordering gifts and supplies; and physically setting up and taking down set up for events.Responsibilities:
Temporary, part time position to support employee and customer events spring and summer 2025. Must work onsite for events in Madison, Sun Prairie, Poynette and Milwaukee, Wisconsin; otherwise will work remotely.
The Events Coordinator is responsible for logistics support for meetings of AprilAire employees and customers. This includes organizing meeting agenda/schedule; meals, activities and transportation; ordering gifts and supplies; and physically setting up and taking down set up for events.
- Organize flow of meetings working manager and internal customers
- Plan ground transport, hotel, activities, meals
- Order gifts and supplies
- Organize agenda with times/locations, considering travel time and other logistics
- Organize schedule and book times with internal employees as needed, e.g. for giving tours of AprilAire facilities or presenting overviews
- Set up before event days
- Tear down at end of / after event days
- Be on site day of events – possibly ground travel with groups
- Preferred: experience coordinating events for up to 50 attendees
- Flexibility/ability to adjust workflow in the spur of the moment
- Attention to detail
- Good interpersonal skills
- Ability to communicate schedules and changes to staff
- Thrives with juggling many different tasks
- Experience with MicroSoft tools including Outlook, Excel, Word and WebEx
- Valid Driver's license and transportation to event locations
- Must be able to lift up to 20 pounds occasionally in an 8 hour shift, e.g. moving boxes of gifts or supplies.
- Must be able to verbally communicate and listen to customers in person and over the phone.
- Must be able to travel to attend and support onsite events in Wisconsin, specifically Madison, Sun Prairie, Poynette and Milwaukee
