Position Summary
The Collections Administrative Coordinator provides confidential administrative support and general divisional support to the Director and Deputy Director of the Collections Division. This position plays a critical role in ensuring and tracking program alignment and coordination across multiple channels, and in task management for the Collections Division leadership, ensuring critical deadlines are met. The position requires a high degree of professionalism, accountability, confidentiality, efficiency, and independence. Daily, this position is presented with a variety of issues that require independent judgment to make choices for action or elevating to Collections leadership for disposition and resolution.
Duties and Responsibilities :
Serve as a point of contact for collections division operational questions from internal and external stakeholders.
- Make judgements about resolution and follow through.
- Make internal referrals to appropriate departments if needed.
Assist with the development of a Collections dashboard. Manage the dashboard on ongoing basis.
Track collections programmatic partnerships across the organization.
Assist collections leadership with preparation of program updates, to support board meeting presentations, government affairs requests, member events, or external community requests.
Provide information to staff or the public, as part of CPO's community engagement efforts
Track deadlines for submitting Programs KPI reporting for Board meeting. Ensure Programs department heads meet deadlines set by Director's Office.
Occasionally coordinate complex meetings with the ability to resolve scheduling conflicts.
Coordinate travel arrangements, including lodging, vehicles, event registration, and airfare. Track expenses and resolve any problems with reservations or invoices.
Enter travel expense reports and perform p-card reconciliation for Division leadership as needed. Ensure timely processing and use of proper funding codes.
Serve as a liaison to the communications staff to ensure talking points are received in a timely manner for speaking appearances, media interviews, meetings, etc.
Salary Information
Pay range is $20.00 - $21.00 per hour. This classification is in schedule and class 81-04.
Please note this is a Limited Term Employment position so it does not include paid time off or benefits upon hire.
Job Details
A criminal background check will be conducted by WHS prior to an offer of employment to determine if the circumstances of any conviction may be related to the job.
This is a Limited Term Employment (LTE) position and limited to 1,039 hours. This position will be part time and average 20 hours per week.
Wisconsin residency is required for Limited Term Employment positions.
Limited Term Employment (LTE) positions are not civil service classified positions, do not give any rights to permanent civil service classified positions and do not lead to permanent status.
WHS does not sponsor work visas. Any appointment made will be contingent on the applicant being able to prove valid status to work in the United States.
