Purpose:
We are seeking a responsible, high-energy, well-organized, Administrative Assistant to perform a variety of
administrative/legal and clerical tasks. The successful candidate will have a proven track record of having worked in
a fast-paced office environment and be capable of handling multiple and diverse assignments and must have strong
computer and database knowledge.
Requirements and Skills
Hands on experience with MS Office Suite, Google, Zoom, and databases.
Working knowledge of office equipment, like printers, scanners.
Excellent verbal and written communication skills.
Strong organizational and time-management skills.
High level of attention to detail and accuracy.
Ability to multi-task.
Ability to type an average of 60 words per minute, (proof required)
Responsibilities will include:
Provides administrative support to ensure efficient operation of the Labor Relations Department.
Provide primary support for maintenance of all files in the department including, but not limited to hard
copies, electronic communications, and archives.
Provide reports including, but not limited to grievance case dockets, settlements, workload, arbitration
status, as requested.
Create spreadsheets and assist, when necessary, in databases for handling of grievances, including but not
limited to, calendar maintenance, meeting preparations, meeting site arrangements, follow up and reminder
communications and minute taking.
Notify appropriate staff of grievances that are due to be filed; prepare correspondence and issue grievance
numbers and email relevant documentation.
Provide primary administrative support in all matters relating to committee meetings, including, but not
limited to, calendar maintenance, meeting preparation, meeting site arrangements, follow-up and reminder
communications and note taking; draft templates of the agenda for use to Labor Relations professional staff.
Attend and take notes at special meetings; prepare draft summaries.
Maintain filing systems, both electronic and physical.
Carries out administrative duties such as typing, copying, binding, scanning etc
Support Association by performing tasks related to its effort and goals.
Answer phone calls, provide information to callers or connect callers to appropriate people and respond to email
inquiries.
Carryout receptionist duties at the front desk when meetings are conducted in-house.
Exhibits polite and professional communication via phone, e-mail, and mail.
Other administrative support as assigned by the Head of Labor Relations Department, the APSCUF
President or his/her designee.
Education: Bachelor’s degree (B.A.) from four-year college or university; or four years related experience and/or
training, or equivalent combination of education and experience. Legal assistant experience preferred.
