Aptarro is seeking a proactive, detail-oriented Office Manager/HR Assistant to become a key player in our team. This is an in-person position, where you will be responsible for ensuring the smooth operation of our office while supporting a variety of HR-related tasks as directed by the Senior Director of Human Resources.

The ideal candidate will bring 1-2 years of experience in office management or HR assistance, along with exceptional communication, interpersonal, and organizational skills. The role demands a high level of discretion, professionalism, and confidentiality in handling sensitive matters. This is an excellent opportunity to contribute to the success of a growing company and team while supporting the HR department’s critical functions across the organization.

Duties / Responsibilities:

  • Perform general office duties, including answering phone calls, responding to emails, greeting guests, and coordinating deliveries.
  • Receive, sort, and distribute office mail.
  • Ensure daily deposit of all checks.
  • Manage executive leadership teams’ time off requests in ADP.
  • Support vendor management activities, including ordering supplies and maintaining relationships with vendors.
  • Assist with recruitment efforts by coordinating job interviews.
  • Initiate background investigations and conduct reference checks for prospective employees.
  • Assist with new hire orientation and training activities.
  • Manage employee onboarding and offboarding processes, including conducting exit interviews.
  • Assist with the coordination of in-house or off-site activities, e.g. company events, celebrations and conferences.
  • Coordinate employee anniversary awards and recognition initiatives including mailing swag boxes to new hires.
  • Perform other office management and human resources related duties as assigned.

Qualifications:

  • Associate’s degree required; Bachelor's degree in Human Resources or a related field preferred.
  • 1-2 years of office management experience is a plus.
  • 1-2 years of experience as an HR Assistant (essential).
  • Strong organizational and multitasking abilities.
  • Excellent communication skills (both written and verbal).
  • Proficiency with office software and HR tools (e.g., ADP).
  • Ability to work independently and as part of a team in a fast-paced environment.

    Physical Requirements:
  • Sedentary work.
  • Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
  • Repetitive motion.
  • Substantial movements (motions) of the wrists, hands, and/or fingers.
