At AES, we are seeking an in-person, on-site Office Manager who can help keep our office running smoothly. The ideal candidate must be able to balance a number of tasks including answering phones, answering customer questions, following up with customers, fulfilling online orders, ordering inventory, ordering office supplies, handling incoming/outgoing mail, working on ad-hoc projects, assisting bookkeeper with accounting projects, assisting Operations Manager and CEO.

  • Monitors web sales and fulfills orders.
  • Monitors AES website for technical issues.
  • Manage AES Inventory.
  • Acts as CRM liaison and assists staff with all CRM software.
  • Places all orders from vendors.
  • Build relationships with vendors.
  • Oversees all shipments out of AES (USPS, UPS, FedEx, etc.).
  • Answer incoming calls, direct calls to proper area, follow up with clients as needed.
  • Post and manages AES social media accounts.
  • Ensures blogs, submitted by AES staff, are posted on website.
  • Research and complete projects assigned to.
  • Manages AES employee milestones (birthdays, anniversaries, etc.).
  • Assist AES staff as needed (generating invoices, report writing, etc.).
  • Perform related duties as assigned by supervisor.
  • Maintain compliance with all company policies and procedures.
  • Transcribes CEO voice memos.
  • Communicates with construction contacts for new pond construction projects.

EDUCATION AND/OR WORK EXPERIENCE REQUIREMENTS

Must Haves:

  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • Excellent computer proficiency (MS Office – Word, Excel and Google Suite, Slack, social media platforms).
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Sharp eye for detail.
  • Able to type 30 WPM.
  • Ability to shift attention to new projects as needs change.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • High school diploma or GED required.
  • 5 years of proven office management experience
  • Ability to multitask.

Nice To Haves:

  • Impressive organizational skills
  • Social Media management experience.
  • Associate degree preferred-in Business/Office Management/Accounting or related field.

PHYSICAL REQUIREMENTS

  • Ability to sit for long periods of time.
  • Ability to stand and move about.
  • Must be able to move items from inventory to mailing.
  • Must be able to lift and carry up to 20 lbs.
  • Must be able to talk, listen and speak clearly on telephone.

Job Type: Full-time

Pay: $20.00 - $24.00 per hour

Expected hours: 40 per week
