Aransas Medical Supply is looking for an experienced Intake Coordinator to organize and coordinate administrative duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Intake Coordinator duties and responsibilities include answering the phone, obtaining required documentation, assisting the billing department, placing orders, greeting visitors and maintaining patient records. Previous experience with Durable Medical Equipment would be an advantage. A successful Intake Coordinator should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Intake Coordinator should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
JOB SUMMARY
Under the direction of the Office Manager, the Intake Coordinator is responsible for anything related to and concerning durable medical equipment inventory control, order processing, documentation, regulatory compliance and customer service.
OPERATIONAL RESPONSIBILITIES
1. Intake Coordinator will review daily schedules with Office Manager to ensure timely delivery of equipment and billing.
2. Intake Coordinator will be available to assist clinical staff with dispensary of and will coordinate with all clinical staff on proper equipment and supplies.
3. Intake Coordinator will manage and organize all inventory including entering of inventory into the database and provide packing slips to the Accounting Department to ensure accurate counts on on-hand items.
4. Intake Coordinator will report to Billing Manager any missing or incorrectly dispensed items as per proper department procedures.
5. Intake Coordinator will notify the Office Manager of any errors so that they may follow up with appropriate staff.
6. Intake Coordinator must ensure that custom products are ordered with in a timely manner and ensure that patients receive said products timely and fittings if required are completed.
7. Intake Coordinator must address any customer service or relations issues as related to DME in a timely and professional manner. Intake Coordinator will advise the Office Manager of any unresolved issues so that they may be taken to the appropriate personnel in a timely manner.
8. Intake Coordinator while working with Billing Manager will ensure proper Medical Policy for Medicare and commercial payers is followed and DME is dispensed when appropriate.
9. Intake Coordinator is responsible for keeping accurate records regarding profit and loss and reporting these to the Office Manager monthly.
Other duties as assigned
Aransas Medical Supply reserves the right to revise, add or delete duties at any time to the Intake Coordinator’s daily, weekly or monthly functions as needed in the best interest of the Intake Coordinator, Aransas Medical Supply and our patients.
KNOWLEDGE/SKILLS/ABILITES REQUIRED
Excellent interpersonal, analytical, and problem-solving skills.
1. DME or healthcare experience strongly preferred.
