Job Title : Mortgage Loan Disbursement Specialist
FLSA : Non-Exempt
Function : Mortgage Lending
Reports To : Mortgage Servicing Manager
Purpose : The Mortgage Loan Disbursement Specialist I is responsible for receiving closing packages for Conventional, FHA, RD, VA, and promotional loans. This position maintains procedures, policies, and guidelines to ensure that the credit union's mortgage operations are current with the secondary market, and investor requirements and guidelines, and to ensure that all member information has been input correctly into all credit union systems. Provide members with an extraordinary experience in accordance with the credit union's core values and service promise.
Responsibilities :
- Retrieve and review closing packages from title companies in electronic and physical form
- Scan physical files and import them into Encompass to be indexed
- Index closing packages that have been imported into Encompass and verify that all documents were scanned correctly and are placed in the correct file
- Review closing packages for any missing information or errors and work with the title company, the member, and mortgage staff to find or resolve any incorrect or missing documents
- Track mortgages sent for recording to ensure recording is completed in a timely manner and the mortgage is returned to the credit union
- Assist in preparation of notes and supporting paperwork for sale to secondary market
- Follow up on any deficiency requests by post-closing and quality control in a timely manner
- Report compliance violations and other errors to management
- Scan and electronically file discharged loans
- Prepare and send welcome letters
- Maintain the organization of the physical file system
- Maintain an up-to-date and comprehensive knowledge of all state and federal legal obligations and regulations
- Compliance with the Bank Secrecy Act, OFAC, and USA PATRIOT Act including Customer Identification Program, customer due diligence, identifying high risk accounts, reporting suspicious activities to supervisor or BSA Department
- Support the credit union's focus on member service and sales
- Promote and maintain a confidential environment to protect member, employee, and credit union information
- Follow all credit union policies, procedures, and requirements, in addition to all applicable state and federal laws and regulations
- Create and promote a positive professional image of one's self and the credit union
- Exemplify the credit union's core purpose and core values
