Job Summary:
The Bookkeeper will play a key role in managing the company’s financial records, ensuring accuracy and compliance across all financial transactions. This position will involve managing accounts payable and receivable, payroll processing, and bank reconciliations, while providing ongoing support for financial reporting, budgeting, and project cost tracking. The ideal candidate will have experience in the construction and/or interior design industries and will be comfortable handling the financial complexities of a growing design and construction business.
Key Responsibilities:
- Accounts Payable & Receivable:
- Manage incoming and outgoing invoices related to interior design and construction projects.
- Ensure vendors, contractors, and suppliers are paid on time, and follow up with clients on outstanding invoices.
- Reconcile payments and receipts with contracts, work orders, and project timelines to ensure accuracy.
- Payroll Processing:
- Process payroll for all employees, ensuring correct deductions and benefits are applied.
- Maintain accurate payroll records and stay up to date with relevant wage laws and tax regulations.
- Bank & Credit Card Reconciliation:
- Perform monthly bank and credit card reconciliations to ensure that all transactions are accurately reflected in the company’s financial records.
- Investigate and resolve any discrepancies or issues with transactions.
- Financial Reporting:
- Prepare monthly, quarterly, and annual financial reports, including profit and loss statements and balance sheets.
- Provide key financial insights to senior leadership to inform business decisions.
- Assist with budgeting and forecasting, particularly related to ongoing projects and operational needs.
- Project Cost Tracking & Job Costing:
- Monitor and track project budgets, ensuring that all expenses align with project estimates and timelines.
- Work closely with project managers and the design team to ensure that financial records reflect accurate project costs, including labor, materials, and overheads.
- Tax & Compliance:
- Ensure timely filing of sales tax returns, as well as assisting with year-end tax preparation and audits.
- Stay updated on tax laws and industry-specific regulations related to the design and construction sectors.
- Software Management:
- Utilize accounting software (QuickBooks, Xero, etc.) to maintain accurate financial records and streamline accounting processes.
- Ensure proper integration between project management systems and accounting software to support efficient financial workflows.
- General Administrative Support:
- Provide administrative support to the management team as needed.
- Assist with financial audits and ensure company records are in order for regulatory reviews.
Skills & Qualifications:
- 3 years of experience in bookkeeping, accounting, or a similar role, ideally in the interior design, construction, or related industries.
- Strong knowledge of accounting principles, financial reporting, and payroll processing.
- Familiarity with construction contracts, job costing, and project budget tracking.
- Proficiency with accounting software (QuickBooks, Xero, or similar) and Microsoft Office Suite (Excel, Word).
- High attention to detail and strong organizational skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Excellent communication skills and a collaborative, team-oriented mindset.
- Knowledge of tax laws and financial compliance as they relate to the construction and design industries is a plus.
Education & Experience:
- Associate’s degree in Accounting, Finance, Business Administration, or a related field (Bachelor’s degree preferred).
- A minimum of 3 years of bookkeeping or accounting experience, preferably in the interior design, construction, or related industries.
