Executive Assistant
We are seeking a highly organized, discreet, and proactive Executive Assistant (EA) to the Founders of Arc, Joseph Korff and Irene Susmano. We're looking for a seasoned professional who can provide high-level administrative, professional and personal support primarily for the princiapl Founder, Joseph Korff, ensuring seamless day-to-day management of both professional and personal affairs. The ideal candidate is a strategic thinker with exceptional attention to detail, problem-solving abilities, and the ability to thrive in a fast-paced, high-expectation environment. The successful candidate will play a key administrative role on the Arc team, leading schedule coordination, arranging travel, managing business contacts, meeting logistics, drafting and managing correspondence, and special projects. The EA will handle confidential and sensitive information with the utmost discretion.
We maintain an active venture capital portfolio, investing in companies all around the globe. In addition we have several real estate investments throughout the US.
The Executive Assistant represents Arc's leadership both internally and externally and must have good judgment and significant initiative across a broad spectrum of activities and situations. Our founders travel frequently, therefore the Executive Assistant will need to be an independent and experienced assistant with strong organizational and interpersonal skills.
Principal Responsibilities
• Scheduling: Manage the Founders’ active calendar of professional and personal appointments and tasks. They will perform complex scheduling across international time zones.
• Travel & Meeting Coordination: Arrange Founder travel, meeting spaces, agenda, written materials, and assemble documents as needed. Ensure that the Founders are fully briefed and prepared for meetings, events, and trips by providing or obtaining background information as necessary.
• Project Management: Track and provide frequent communication regarding tasks to be completed by the Founders and other members of the team.
• Email Correspondence: Manage an extremely active inbox in collaboration with the principal Founder, synthesize content, draft or answer correspondence when appropriate, and ensure timely follow up. Write letters and emails as needed and regularly contact colleagues within and outside of Arc as required. Review communications and documents for accuracy, completeness, format, and grammar.
• Administration: Complete administrative responsibilities as needed.
• Lifestyle Management: Coordinate and assist with personal projects, philanthropic initiatives, and social engagements.
Qualifications
The successful applicant will have the following minimum qualifications:
• Bachelor’s degree or equivalent experience
• 4 years of relevant experience
• Excellent attention to detail, strong organizational skills and pro-active problem solving
• Ability to work tactfully and effectively with a diverse group
• Excellent written and oral communication
• Ability to prioritize, multi-task, follow-through and report back, and manage time effectively
• Ability to work independently and as part of a team
• Ability to handle sensitive matters with discretion
• High degree of proficiency in Microsoft Office (i.e., Word, Excel, Outlook, PowerPoint, Teams).
• Ability to keep calm under pressure
• Ability to quickly and accurately analyze problems and identify appropriate solutions
• Excellent interpersonal communication skills, including tact, poise, professionalism, diplomacy, and a good sense of humor
• Flexibility and a “can do” approach to dynamic circumstances
• Experience working with international colleagues is a plus
Compensation
Range: $85,000 to $110,000 annually, commensurate with knowledge, skills and experience.
