Arc Mental Health is seeking a Front Desk / Medical Assistant to join our multidisciplinary team in a community mental health clinic that offers counseling and psychiatric services, and innovative treatments such as Ketamine-Assisted Therapy and Transcranial Magnetic Stimulation (TMS).
In this role, you will be responsible for providing exceptional customer service, supporting the clinical team, and ensuring smooth operations for patients seeking mental health and wellness treatment. Key Responsibilities:
- Front Desk Operations:
- Greet patients upon arrival, check in and out, and ensure they feel welcome and comfortable.
- Answer phone calls, respond to inquiries, and schedule appointments for counseling, psychiatric services, Ketamine-Assisted Therapy, and TMS.
- Maintain a clean, organized, and professional front office environment.
- Process patient intake forms, update medical records, verify insurance information, and collect patient payments.
- Manage patient flow and ensure timely communication between patients and the clinical team.
- Medical Assistance:
- Assist our providers with patient care, including taking vitals (blood pressure, weight, temperature, pulse), conducting pre-treatment assessments, and documenting patient information.
- Administer medications or treatments as directed by healthcare professionals (i.e., assisting with ketamine infusion sessions or TMS treatment protocols).
- Prepare treatment rooms for patient visits, ensuring all necessary equipment and materials are ready.
- Educate patients on procedures and protocols for Ketamine-Assisted Therapy and TMS, answering any questions or concerns they may have.
- Patient Support and Education:
- Provide compassionate and non-judgmental support to patients during their visit.
- Monitor patient reactions and communicate any concerns to healthcare providers and management.
- Administrative Tasks:
- Maintain and organize patient charts, ensuring that all documents are filed correctly and up to date.
- Process insurance verifications and pre-authorizations for behavioral health services and treatments, as needed.
- Coordinate patient billing and payments, working with the office manager or billing department as necessary.
- Handle other administrative duties as assigned, such as maintaining office supplies and managing inventory.
Qualifications:
- High school diploma or equivalent; Medical Assistant certification preferred.
- Prior experience in a medical office or psychiatric/mental health setting is highly preferred.
- Familiarity with mental health treatments such as Ketamine-Assisted Therapy and TMS is a plus.
- Excellent communication and interpersonal skills, with the ability to engage with patients in a professional, empathetic manner.
- Strong organizational skills and ability to multitask effectively in a busy environment.
- Ability to maintain patient confidentiality and adhere to HIPAA regulations.
- Basic knowledge of medical office software, electronic health records (EHR), and insurance processes.
