This position is part time 20-24 hours a week hybrid work schedule.

Role Description ana Accountabilities:

  • Contribute to an environment that is efficient, professional, proactive, and team oriented
  • Assist and/or carry out administrative duties such as filing, copying, binding, scanning, etc. and provide general office support to the team
  • Responsible for maintaining and ordering office supplies, printer materials, kitchen items, and other misc. items that the physical office and/or staff may need
  • Coordinate with office team, various corporate departments, vendors, and consultants to continuously review and enhance company administration, procedures, and working practices
  • Responsible for keeping track of company credit card, expenditures, receipts, and reconciliation each month
  • Supports new hire onboarding by tracking new hire dates, supporting their first day in person, coordinating technology, and orienting them to the office
  • Assist in scheduling office events such as “lunch ‘n learns” and monthly staff meetings. Coordinate meeting catering as needed. Record staff meetings and provide responses to staff questions for the monthly staff office meeting
  • Support the planning and coordination of staff summer and winter events and socials
  • Perform general errands and special requests as needed
  • Temporarily support office move by organizing office supplies and unpacking boxes

Project Support (50%)

  • Complete weekly updates of the staffing resource tracker with input from management staff on expected employee hours for individual projects
  • Update the staffing resource tracker with staff vacation days when those days are identified
  • Support staff on the jobsite with meeting minutes, jobsite photos, and document control
  • Set up new projects in Newforma (project management system) and create project folders for new projects in the project drive
  • Perform data entry by typing up handwritten notes and complete miscellaneous data tracking projects

Marketing Support (20%)

  • Connect with new hires and existing staff to gather accurate resume information, edit, and lead the maintenance of resumes in project tracking system (Cosential).
  • Order proposals and reports from local print shops and coordinate delivery
  • Maintain and update client relationship management trackers with recent data provided by the marketing and leadership teams
  • Attend and take notes for bi-weekly marketing meetings.
  • Support conference booth setup including moving furniture and equipment

Qualifications & Experience:

  • 2 years of experience with general office support
  • Experience in asset management
  • Experience in event planning and coordination
  • Valid driver’s license and willingness to occasionally drive to jobsite locations via a rental or personal vehicle
  • Proficiency in Microsoft Office products, especially excel and word, with the ability to pick up new programs quickly and independently

Arcadis offers benefits for full time and part time positions. We offer nine paid holidays and 15 days PTO that accrue per year. The salary range for this position is $25,000 - $30,000.

Actual salaries will vary and are based on several factors, such as experience, education, budget, internal equity, project and location.
