Residency Program Coordinator- Psychiatry Residency Program
Qualifications: Preferred Bachelor’s degree from an accredited college or university in a related field with a minimum of four years of applicable experience, or an Associate’s degree and seven years of applicable experience, or a high school diploma or GED with ten years of applicable experience. Preferred minimum of four years applicable experience with a bachelor’s degree, or seven years applicable experience with an Associate’s degree, or ten years of applicable experience with a high school diploma or GED.
Responsibilities: This position is responsible for supporting the Graduate Medical Education (Residency) office in the continued accreditation and function of the Psychiatry Residency Program. This position will lead operational management and administrative support functions for Archbold’s Psychiatry Residency Program and support the medical education pipeline at John D. Archbold Memorial Hospital. This position requires excellent organizational skills, a high degree of initiative and independent judgment; and a desire to develop a comprehensive and detailed knowledge of national accreditation requirements and program specific policy. Responsible for performing a variety of administrative tasks, some of which include program planning, recruitment, monitoring and inputting program data, scheduling, meeting and event coordination and support of other graduate medical education (residency) activities as assigned.
Illustrative Examples of Work Performed:
• Manages the development, planning and coordination of Psychiatry Residency rotations.
• Develops, organizes and directs recruitment activities, including identification of eligible applicants, coordination of applicant interview process and events related to the visit, including meetings with faculty, dinners or lunches, and materials; may or may not include extensive and overnight travel for interviewing/recruitment.
• Administers and manages policy implementation of all rules, regulations and prescripts regulating educational programs; reviews participants requirements such as, credentialing, licensure, FMG, visa, as appropriate.
• Ensures program accreditation with regard to compliance of potential participants with the criteria of corresponding organizations such as Accreditation Council of Graduate Medical Education (ACGME), Residency Review Committee (RRC), Graduate Medical Education (GME), and HIPAA.
• Leads reporting in the Program’s ACGME Accreditation Data System (ADS)
• Leads reporting/documentation in other online data systems/portals linked to the Program (FREIDA, ERAS, ABPN, AOBPN, etc.)
• Develops and manages residency management suite (i.e. New Innovations) to include curriculum, resident rotation schedule, didactic schedule, evaluations, surveys, Annual Program Evaluation (APE), Milestones, etc.
• Develops, coordinates and plans annual educational program participant orientation, graduation and extracurricular activities.
• Maintains informational database system for various reporting purposes and curriculum inventory.
• Manages coordination and authorization of educational program budgets and expenditures to include recruitment, coordination with Graduate Medical Education (GME); reconcile all accounts and expenditures.
• Manages evaluation system to include participant evaluation, grade reporting; coordinates participant file maintenance; monitor and counsel program participants when needed.
• Maintains informational database system for various reporting requirements, including monitoring resident compliance.
• Oversees administration of educational exams.
• Works alongside the Program Director to manage residency program faculty meetings, faculty development, resident meetings, Program Evaluation Committee (PEC), Clinical Competency Committee (CCC), etc.
• Responsible for meeting minutes, meeting agendas, collection/organization/review of meeting materials, etc.
• Manages educational program staff; interviews, selects and evaluates staff (if applicable); maintains personnel records and leave of absences.
• Provides direct and indirect supervision of program participants to include personnel records, time off requests, leave of absences, and personnel policy issues.
• Oversees resident procedures logs and documentation of clinical and educational work hours, and other related policy documentation.
• Coordinates preceptor orientation and communication, including preceptor letters and other correspondence.
• Performs other duties as assigned.
