The Archdiocese of Washington is hiring an Executive Assistant to support the new Office of the new Archbishop of Washington, Cardinal McElroy.
This is a full time, in-office position and will report to the Priest Secretary and will provide executive level support.
This role is exempt and the salary range is: $68,000 t0 $85,000 with outstanding benefits.
Duties and Responsibilities
- Ensure that the Office of the Archbishop maintains and projects a friendly and welcoming atmosphere and provides warm hospitality to callers and visitors.
- Oversee the day-to-day operations for the Office of the Archbishop of Washington
- Successfully assist in managing a fast-paced, high intensity office
- Create and maintain highly effective organizational and filing systems, including online and offsite storage in line with the Archdiocesan records retention policy
- Maintain the Archbishop’s calendar on a daily, weekly, monthly and yearly basis to coordinate workflow, meetings, travel, and various events
- Act as a liaison and maintain open lines of communication among senior staff, board members, church hierarchy and administrative staff
- Attend meetings and take minutes as needed.
- Maintain financial record-keeping system for the Office.
- Work with IT to determine appropriate computer software and hardware and support services needed for the Archbishop.
- Communicate effectively with co-workers, subordinates, superiors, the general public, and others.
- Prepare highly confidential correspondence and information, including personal and personnel matters.
- Proof and edit documents such as memos, invoices, letters, financial statements, blogs, e-letters.
- Coordinate and set up high-level meetings, special events, travel arrangements and conference calls
- Research, book and organize travel arrangements, including flights, accommodations and logistical coordination
- Other related duties as assigned.
Qualifications
Knowledge, Skills and Abilities
- Excellent written and oral communication skills.
- Effective team player with strong interpersonal, communication, and customer service skills.
- Ability to handle multiple tasks under time sensitive deadlines.
- Ability to handle confidential and sensitive information.
- High proficiency in suite of Microsoft Office tools: Excel, Word, Outlook, and PowerPoint.
Required Education and Experience
- Must be a practicing Catholic who supports the teachings of the Catholic Church.
- Bachelor’s Degree
- 7 or more years of experience in an executive administrative role; or an equivalent combination of education/experience required.
- Bilingual in Spanish
Work Environment
- This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
- This position is in-office 5 days per week
