Archia Homes is an award-winning design/build firm specializing in fine custom homes and additions. With expertise in renovations, gourmet kitchens, historic restorations, and timber frame structures, we are seeking an experienced Construction Office Manager to join our dynamic team. A background in construction office management is highly desirable. The ideal candidate will possess exceptional organizational skills, the ability to prioritize effectively, manage multiple tasks concurrently, and communicate clearly and professionally.
Responsibilities:
- Provide administrative oversight of the construction process, playing a key supporting role in ensuring project deadlines are met, payables are processed promptly, and receivables are collected efficiently.
- Assist in reviewing job estimates, proposals, and budgets, providing an additional layer of oversight.
- Manage communication with clients, colleagues, subcontractors, and vendors through various channels, including construction management software, email, phone, and in-person interactions.
- Collaborate with our financial management firm to review job financial reports, including accounts payable/accounts receivable reports and profit and loss statements within QuickBooks and project management software, contributing to the monitoring of target projections.
- Monitor and ensure timely payments to vendors.
- Process change orders under the supervision of the estimator.
- Maintain meticulous records of project scope changes to ensure accurate change order processing.
- Manage calendars, appointments, and meetings.
- Oversee office supplies and procurement.
- Maintain accurate records using QuickBooks and perform various clerical tasks.
Qualifications:
- Proficiency in QuickBooks Online, Microsoft Word, Excel, Zoom, and Google Workspace applications.
- Demonstrated proficiency with project management software and general technological aptitude.
- Exceptional organizational and multitasking skills.
- Excellent written and verbal communication skills and strong resourcefulness.
- Experience in accounting is a significant advantage.
