Job Overview
We are seeking a highly organized Office Administrator to work part-time for a local architectural firm. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks, supporting staff, and maintaining effective communication with clients and vendors. This position requires exceptional communication skills, a strong attention to detail, excellent multitasking abilities, and proficiency in office management software.
Responsibilities
- Manage daily office operations, including incoming/outgoing mail, greeting clients and operating a basic phone system.
- Oversee calendar management for staff, scheduling meetings and appointments as needed.
- Maintain organized filing systems for important project and office documents and records.
- Enter weekly employee time sheets and process disbursement of all payroll and associated governmental submittal requirements.
- Process accounts payable in a timely manner.
- Prepare client billing and process accounts receivable.
- Maintain all other office-supporting requirements such as licensures, health insurance and retirement plans.
- Support the team with various administrative tasks as required to enhance productivity, such as preparing permit and utility applications, client contracts, copying/scanning documents and typing/editing letters.
Qualifications
- Applicant should possess at least two years of experience in a similar role with similar responsibilities.
- Knowledge of construction and architectural terminology is a plus.
- Proficiency in Quicken, Wordperfect, Excel is preferred.
- Familiarity with Billquick and Filemaker or similar is desired.
- Experience with bookkeeping is advantageous.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Strong communication skills, both verbal and written.
- Ability to work independently as well as collaboratively within a team environment.
- Must reside within Medina County.
Pay
- Commensurate with experience.
Job Type: Part-time
Pay: $15.00 - $20.00 per hour
