Expert professional role requiring extensive knowledge of the business. Provide administrative and data entry support for the Closing Unit Trust Officer in support of Trust business objectives.

ESSENTIAL DUTIES AND RESPONSIBILITIES: To perform this job successfully, the individual must be able to perform each essential duty satisfactorily.

  • Works independently with only administrative supervision on highly complex projects with extensive latitude for independent judgment.
  • Expected to be a primary mentor for others on staff and a role model for the rest of the team providing direction and training when requested.
  • Ability to provide communication on issues or complex information to a wide audience based on knowledge.
  • Assigned to the most highly visible, sensitive, and critical issues.
  • Supports assigned Closing Unit Trust Officer in the administration of closing trust accounts.
  • Interacts in an ongoing relationship with associated financial partners and trust clients.
  • Assists with account administration functions to ensure client satisfaction.
  • Performs daily account activity:
  • Posts receipts
  • Enters pending trade orders
  • Raises cash for distributions
  • Enters check/wire requests
  • Submits ACH transfer instructions
  • Handles account inquiries
  • Closes accounts
  • Researches account discrepancies
  • Calculates fee-sharing data, including manual calculations when necessary
  • Administers all systems related to the management of trust accounts.
  • Maintains all account documentation for current and historical monitoring of accounts.
  • Special projects and other related duties are assigned as needed.

KNOWLEDGE, SKILLS, AND/OR ABILITIES: To perform this job successfully, the individual should have the following skills and abilities.

  • Strong organizational and communication skills
  • Ability to multi-task
  • Working knowledge of Microsoft Office
  • Trust system experience
  • Ability to maintain confidentiality and exercise extreme discretion.
  • Proficiency in MS Outlook, MS Excel, MS Word and MS PowerPoint.
  • Ability to follow written and oral instructions.
  • Exhibit professional phone demeanor.
  • Good organizational skills, efficiency skills, and communication skills, both verbal and written.
  • Be able to work effectively, independently and collaboratively with a broad range of executives and members of the firm.
  • Attention to detail.
  • Commitment to professionalism, accountability, customer focus, and teamwork

SUPERVISORY RESPONSIBILITIES: None

EDUCATION AND/OR EXPERIENCE:

  • Bachelor’s degree in business administration or other related discipline or the equivalent combination of education, training, or work experience.
  • 7 or more year of Trust Administrator experience.
