The Executive Assistant will provide high-level administrative support to the executive team, ensuring smooth and efficient day-to-day operations. This pivotal role is integral to the seamless functions of the executive team tasks and overall organization effectiveness.
Essential Functions

- Strong and effective communication in both verbal and written formats, ensuring professional and clear communication within and outside the organization.
- Coordinate and manage executive calendars as requested, possibly including scheduling meetings, appointments, events, and travel arrangements.
- Prepare meeting agendas, materials, and minutes; coordinate logistics for internal and external meetings, conferences, and events.
- Arrange travel plans, including flights, accommodations, and transportation as directed.
- Assist in the planning and execution of special projects, research, and presentations as assigned by the executive team.
- Prepare and reconcile executive expense reports, ensuring accuracy.
- Handle sensitive information and maintain a high level of confidentiality in all interactions.
- Occasionally assist with providing office support, and participation in events and committees.
- Provide additional administrative support to the Executive Leadership Team (ELT), as needed, to help operations and communications run smoothly across departments.
- Attend and support preparation and follow-up for Board of Director meetings, Executive Leadership Team (ELT) meetings, and Senior Leadership Team (SLT) meetings.
- Perform other duties as assigned.
- This position requires occasional travel, with a minimum expectation of quarterly travel to support executive and company needs.
- Ability to spend long periods of time sedentary at the desk or workstation.
- Ability to operate computer systems and other standard office equipment.
- Occasionally climb stairs.
- Occasionally lifting and carrying objects (up to 20 pounds).
- Working in quiet to moderately noisy environments, normal for office spaces within warehouse environments.
- Successfully pass drug test screenings throughout employment.
- Strong organizational and time-management skills, including the ability to interact with individuals at all levels.
- Proficient with office software applications and comfortable adapting to new technologies.
- Strong attention to detail.
- Excellent organizational and communication skills.
- Ability to work independently and multitask.
- Ability to work cooperatively in a team environment.
