Responsibilities
1. Office Management:
- Be the go-to support for senior management’s office and operations needs, ensuring they have everything they need to succeed.
- Maintain filing systems that make documents and records easy to find, ensuring everything is organized and accessible.
- Keep the office stocked, organized, and professional, creating a welcoming and efficient workspace.
- Respond quickly and professionally to inquiries and communications to keep things moving smoothly.
2. Financial Administrative Support:
- Process daily deposits and expertly manage accounts payable and receivable with precision.
- Review vendor invoices, reconcile accounts, and ensure every transaction is coded correctly.
- Create and update vendor profiles, manage disbursements, and keep financial records in top shape.
- Assist with financial tasks such as sales analysis, tax reporting, and other projects that keep the business on track.
3. Data Management:
- Keep databases and contact lists updated and accurate, ensuring no detail is overlooked.
- Generate reports and dig into data to provide insights on operational and engagement activities.
- Handle all data tasks accurately and securely, maintaining trust and integrity at every step.
4. Scheduling & Coordination:
- Handle all the logistics for meetings, from finding the perfect venue and arranging catering to setting up technology like a pro.
- Assist senior management with scheduling meetings, appointments, and events to keep everything running smoothly.
