Description
The Project Manager is the face of Argus Consulting in the eyes of the client & directly manages our long-term relationships with clients. The Project Manager directs all aspects of projects throughout the various phases by continual and timely communication with clients, subconsultants, and team members. The Project Manager is fully responsible for all execution, technical, quality, communication and financial aspects of the projects assigned to them. Project Managers represent Argus Consulting in communications with the client including sales support, project planning and setup, execution, close-out and long-term relationship building. The Project Manager is the person in the firm who most directly affects profits by managing the project scope and meeting project budgets and schedules. The Project Manager is also most directly responsible for building and maintaining client relationships through communication, production of a quality product, timely execution of the work and monitoring of the budget. Regular travel is required.
KEY RESPONSIBILITIES
Client Relationship Management
Always develops and maintains client relationships by:
- Understanding the Client’s needs – Doing your homework in preparation for client meetings, active listening and collecting feedback.
- Building Trust and Rapport – Establish a positive relationship with the client based upon trust, delivering on promises, and transparency.
- Regular and Effective Communication – Maintain ongoing communication with the client to provide updates on status, milestones achieved, and deviations from the original plan to avoid surprises.
- Problem Resolution – Proactively address any issues, challenges or conflicts that may arise in a collaborative atmosphere to mitigate risks to project success.
- Customer Satisfaction – Actively seek feedback to identify areas for improvement and implement corrective actions.
- Long Term Relationship Building – Cultivate long term relationships with clients by gaining an understanding of client’s goals and challenges, demonstrating value, and exceeding expectations. Shares relevant client contracts and information via Argus’s CRM system to support other PMs.
Business Development
- Actively participate in identifying and nurturing new business opportunities for the firm.
- Promotes the firm, services and expertise to existing and potential clients.
- Participate in appropriate conferences and related marketing efforts as determined by the Business Unit Director.
- Participate in the preparation of proposals, statements of qualifications, presentations and the overall business development efforts of the firm.
- Creates the fee proposal/project budget and detailed scope of work/scope of services for potential work under the direction of the appropriate Business Unit Director.
Project Execution
Technical Competence:
- Develop and maintain a firm grasp of technical aspects of our work as appropriate to lead projects and coordinate with stakeholders.
- Participate in appropriate technical training to maintain proficiency in our field.
Coordination/Communication:
- Participate in routine internal coordination meetings within the Business Unit to keep work the team organized and up to date.
- Collaborate with Project Administrators to ensure all contracts and subcontracts are executed and appropriate insurance is in place for the project.
- For assigned projects, complete the Project Plan and provide it to the project team at kick-off meetings.
- Responsible for establishing and maintaining the project schedule and communicating with client and project team as milestones or deadlines are met or changed.
- Provide guidance to design team to ensure project is designed to established specifications and codes and work with the team to design solutions for unforeseen conditions as they arise.
- Coordinate with the client and design team, hold kick-off meetings, progress meetings and appropriate site visits to ensure the team meets the established project scope, deliverables, schedule, and budget.
- Develop and issue appropriate project updates and presentations to clients and related stakeholders.
- Coordinate resource needs with operations and engineering teams. Ensure all team members are informed of expectations and deadlines.
- Fully execute agreed upon scope of work, scope of services and deliverables and monitor agreed upon project assumptions and exclusions.
- Coordinate with Project Assistants to oversee the process for shop drawings, compliance submittals and RFI review, approval and return to the contractor.
- Complete project closeout documentation in collaboration with Project Assistants and Marketing team members.
Quality Control and Risk Mitigation:
- Ensure the project is following Argus Consulting’s Quality Control standards. Document completion of quality control reviews.
- Establish and maintain specific project procedures throughout. This includes CAD standard, QA/QC review, project assessment procedures, Engineer of Record requirements, etc.
- Identify project specific risks and coordinate compliance with corporate Health and Safety requirements specific to the project.
- Proactively identify areas of potential risk (internally or externally) and implement procedures to reduce exposure.
Project Financial Performance
- Deliver on project profit expectations (typically 20%).
- Ensure contract, proposal information and billing/invoicing information is provided to Accounting for establishing the project in corporate financial software.
- Monitor financial performance of project using Deltek or other appropriate financial systems. Analyze project labor hours, profitability, revenue, and multipliers on an ongoing basis, but no less than monthly.
- Monitor the work performed by the design team to ensure it remains within the authorized scope of services.
- Communicate with the client when additional fees are required. Pursues contract change orders for out-of-scope items.
- Review and approve invoices from subconsultants, ensuring fees are within agreed budget.
- Follows Argus’ project accounting schedule for invoicing tasks.
- Review draft invoices in a timely manner and provide Accounting clear direction on invoicing.
- Coordinate with Project Controls to monitor project budgets, schedules, and execution of invoicing and collection processes.
Qualifications
- B.S. Degree in Engineering preferred. Otherwise, technical or business background with applicable experience.
- Professional Engineering registration preferred but not required.
- PMP Certification considered in place of PE registration.
- Ability to manage a variety of technical and management tasks.
- Ability to communicate, using various methods, often and effectively with project teams and clients.
- Ability to motivate teams to collaborate and produce high quality materials.
- Excellent communication and interpersonal skills and experience managing or directing project teams.
- Willingness to travel and interface directly with clients and stakeholders.
- Ability to lead with a high degree of emotional intelligence and ethics.
