What are the responsibilities and job description for the Office Assistant/Receptionist position at Ariel Hospice?
As a receptionist's/office assistant you are the first point of contact for a company's clients and employees. You will be responsible in providing a welcoming environment and offering customer service. Receptionists/office assistant perform a variety of tasks and duties, including:
- Greeting visitors: Welcoming visitors and directing them to the appropriate person or office
- Answering phone calls: Answering and transferring calls to the correct department, taking messages, and providing general information
- Handling mail: Receiving, sorting, and distributing mail, packages, and courier deliveries
- Scheduling: Scheduling appointments and meetings for employees
- Maintaining the reception area: Keeping the reception area and common areas clean and tidy
- Performing clerical tasks: Performing basic filing, recordkeeping, faxing, transcribing, and other clerical tasks and in an organized manner
- Provides clerical support, which may include preparation of admission, orientation, and new hire packets; typing, special projects, filing, and copying.
- Providing customer service: Responding to patient/family inquiries in a polite and timely manner, and helping patients/families with questions
- Attention to detail: Accuracy in performing clerical tasks
- Problem-solving: The ability to respond to questions from others, and coordinate meetings
- Create Reports as needed
- Confidentiality: The ability to maintain confidentiality of patient information
- Interpersonal skills: Strong interpersonal skills and the flexibility to adapt to changing work demands and other duties assigned.
- Create, Track and Update HR employee charts as needed
- Able to run background checks on potential applicants
- Knowledge of web applications to include: Kinnser, Google: Email,Doc, Sheets, Gmail, Microsoft applications: Word, Excel
- Order of supplies and keep supply room organized
- Promotes the Hospice’s philosophy and mission by presenting a positive image to patients/families, physicians, and community agencies
- Ability to handle stressful situations in a calm and courteous manner at all times
Skills
To excel in this role, you should possess the following skills:
- Proficiency and organized in receptionist/office assistant duties
- High School Graduate (some college preferred but not required)
- 6 months to 1 year general office experience
- Must have reliable transportation
- Quick to Adapt
