Position Summary:
The Operations Coordinator provides high-level administrative support to the Market Executive, ensuring efficient operations within the market. This role involves managing schedules, overseeing project timelines, and facilitating communication across the operations team.
Primary Duties & Responsibilities:
Calendar and Travel Coordination
- Coordinate the Market Executive’s calendar, including scheduling meetings and making travel arrangements as needed.
- Manage and communicate project timelines to senior leadership.
- Create and manage work plans for production tracking staff and physicians.
- Oversee and track the physician's on-call schedule.
- Coordinate with Site Managers on bi-weekly staffing plans and facilitate staff coverage when needed.
- Assist in monitoring and maintaining the labor tool for optimized staffing.
- Assist in monitoring and maintaining company-defined KPIs as it relates to schedule optimization & patient access.
- Facilitate onboarding and offboarding procedures, including creating orientation and training agendas.
- Send email notifications to respective departments for provider start and end dates, including APPs.
- Coordinate with Site Managers to track training competencies and in-service participation for Front Desk team members.
- Lead by example, provide guidance, and train team members as needed.
- Ensure adherence to company policies and procedures.
- Assist with training and process setup for Operations Coordinators in other regions.
- Prepare documents, spreadsheets, and presentations using Microsoft Word, Excel, and PowerPoint.
- Review the weekly Unread Labs report and notify physicians of labs older than 5 days where applicable.
- Perform and provide staffing analysis on a bi-weekly basis.
- Manage meeting agendas and arrangements, including coordinating catering for luncheons.
- Record meeting minutes for Operations and Market Executive meetings as required.
- Answer phone calls for the Market Executive and take messages when applicable.
- Coordinate follow-up actions from Operations meetings.
- Act as a Liaison for other MSO departments where necessary.
- Support and assist in implementing new initiatives within the specified region
Qualifications
Qualifications:
- Associate's Degree or commensurate experience.
- Five (5) or more years of administrative experience.
- Urology or surgical experience preferred but not essential.
- Demonstrated ability to work independently and as an effective healthcare team member.
- Proven organizational skills and ability to prioritize effectively.
- Excellent customer service skills.
- Strong written and verbal communication skills.
- Proficient computer software and database skills.
- Ability to multi-task, effectively problem-solve, and work in a fast-paced environment.
- Attention to detail, willingness to learn, and bring forth ideas to enhance positive patient care.
- Proficient knowledge of medical terminology.
- Ability to type a minimum of 40 words per minute.

- Travel required to all sites within specified region.
- Regularly required to sit and stand for extended periods.
- Involves standing, sitting, walking, bending, stooping, and twisting.
- Requires full range of body motion, including manual and finger dexterity and eye-hand coordination.
