Arkansas Talent Group is exclusively partnering with a mid to large-sized privately held Arkansas-based firm that spans multiple locations and has over 2,000 employees. The Executive Assistant & Office Managerserves as the organizational backbone of the company, ensuring seamless operations through expert administrative support to the CEO/Owner and other C-Suite Executives, meticulous office management, and proactive coordination. This role demands a high level of discretion, adaptability, professionalism, communication, and initiative to manage both professional and personal responsibilities for the Owner/Founder while supporting broader organizational needs.
Key Responsibilities
Executive Support
- Manage the Owner/Founder's daily calendar, including scheduling, prioritizing appointments, and resolving conflicts.
- Coordinate complex domestic and international travel arrangements, including flights, accommodations, itineraries, and visa processing.
- Draft, proofread, and format executive communications (emails, memos, presentations, reports) on behalf of the Owner/Founder.
- Screen and route incoming calls, emails, and visitors with professionalism and discretion.
- Prepare meeting agendas, take minutes, and track action items.
- Conduct research, compile data, and generate reports for decision-making.
- Maintain confidential records for legal, financial, philanthropic, and subsidiary matters.
Office Management
- Oversee office operations, including supply inventory, equipment maintenance, and vendor relationships.
- Organize internal and external events (e.g., meetings, conferences), managing logistics such as catering, room setup, and A/V needs.
- Process mail, packages, and deliveries; manage returns and exchanges.
- Maintain a centralized filing system for easy document retrieval.
- Monitor shared inboxes, triaging inquiries and delegating tasks as needed.
Financial & Administrative Coordination
- Track and reconcile expenses, receipts, and reimbursements.
- Facilitate check requests and payments in collaboration with accounting teams.
- Manage subscriptions, renewals, and payment methods for personal and professional accounts.
- Liaise with legal, accounting, and external stakeholders to resolve administrative inquiries.
Personal Assistance
- Oversee CEO/Founder's personal affairs
- Organize personal documents, including financial, political, and philanthropic records.
- Manage ad hoc personal tasks as assigned by the Owner/Founder.
Qualifications
Required
- 5 years of experience in executive support and office management
- Exceptional written/verbal communication and interpersonal skills
- Advanced proficiency in Microsoft Office Suite, calendar tools (e.g., Outlook), and TEAMS
- Proven ability to prioritize tasks, meet deadlines, and problem-solve in fast-paced environments
- High ethical standards with experience handling sensitive/confidential information
- Strong attention to detail
Preferred
- Notary Public certification
- Familiarity with expense management software
