The Department of Parks and Recreation (DPR) is seeking a Travel Program Assistant to support DPR’s 55 Travel Program within the Office of Senior 55 Programs. 55 Programs provide recreation, education, social, wellness, and volunteer opportunities for Arlington's vibrant 55 population. The Assistant will provide planning support to the Travel Program Supervisor by identifying and assessing day trip travel opportunities and virtual programming needs and interests for 55 participants, including participants with special needs, for local or regional events. The Assistant serves as the primary point of contact for travel participants.
Specific duties:
- Managing travel program data to include number of trips/virtual programs, attendance, evaluation and customer feedback, including revenue and making recommendations and programs adjustments based on the data;
- Coordinating with the Marketing unit to promote programs, including updating the travel manual with new protocols;
- Coordinating and following-up with presenters about program confirmations and relevant details associated with day trips and virtual programs;
- Corresponding with 55 participants via email, telephone, and in-person, including confirming trips and notifying participants of trip changes and/or cancellations;
- Serving as a host to assist program staff and volunteer travel leaders with virtual programs and meetings, including creating Zoom links for all virtual programs and emailing them to participants;
- Maintaining participation rosters and program information in RecTrac and/or Microsoft TEAMS;
- Benchmarking and researching other jurisdictions for virtual programming offerings and trends;
- Assisting with the recruitment, training, and evaluation of volunteers, including planning and researching special projects;
- Respond to participants’ requests for trips via phone, in-person and Travel Hotline telephone inquiry, including monitoring and updating the Travel Hotline daily; and
- Attending Travel Advisory Committee (TAC) and assist Travel Supervisor in gathering information from the TAC.
Minimum:
- High school Diploma/equivalent; and
- Some experience administering or providing support with recreational, educational, or travel programs, including events planning and/or other related programs.
Substitution: Successful completion of some college coursework from an accredited college or university may be substituted for the experience requirement.
Desirables: Preference may be given to candidates with experience in one or more of the following:
- Customer service, particularly with the 55 population;
- Using Microsoft Office 365 Suite, SharePoint, RecTrac or similar recreation or customer management systems;
- Accounts payable, billing, or bookkeeping;
- Data entry or data management; and/or Writing content for promotional materials.

This selected employee will be required to:

Work Hours : This position operates year-round, part-time, 30 hours weekly . Monday - Friday, 9:30am to 4:00pm, with occasional evening and weekend work. . After completion of probationary period, eligible for one day weekly of telework. Schedule subject to change based on business needs.
