We are seeking a motivated and detail-oriented Executive Real Estate Assistant to join our dynamic team. This role is essential in supporting our real estate operations and ensuring a smooth workflow in various administrative tasks. Duties
1. Personal Assistant to Team Leader:
a. Manage schedule and calendar
b. Manage email
c. Organize and assist in marketing and sales efforts
2. Operational Oversight:
a. Develop, implement, and refine systems and processes to improve team efficiency and productivity.
b. Manage workflows, project timelines, and operational processes to ensure seamless execution.
c. Oversee transaction management, from contract to close, ensuring compliance with all regulations and deadlines.
d. Manage our business structure as to prepare our team for the ups and downs of the real estate market.
3. Administrative Management:
a. Supervise administrative staff and delegate tasks to maintain organization.
b. Maintain databases, CRM systems, and property files, ensuring all data is accurate and up-to-date.
c. Coordinate team schedules, meetings, and events.
4. Financial Management:
a. Monitor budgets, expenses, and financial reports to ensure profitability.
b. Collaborate with leadership to forecast and manage team revenue and expenses.
c. Oversee vendor relationships and negotiate contracts for services.
5. Client Support:
a. Ensure a seamless client experience by maintaining high service standards.
b. Address client inquiries and resolve issues promptly.
c. Collaborate with agents to ensure client needs are met at every stage of the process.
6. Team Coordination and Support:
a. Act as a liaison between team members to foster collaboration and clear communication.
b. Oversee Payroll and Commissions
c. Onboard and train new team members in operational systems and processes.
d. Identify opportunities for team growth and skill development.
7. Marketing and Branding Support:
a. Coordinate marketing campaigns, listing and buyer presentations, and promotional activities.
b. Ensure all marketing materials are consistent with branding guidelines.
c. Create a system for collecting and posting client reviews
d. Oversee online and social media marketing
Qualifications:
· Experience in operations management or executive assisting, preferably within the real estate industry.
· Strong understanding of real estate processes, contracts, and compliance.
· Exceptional organizational and project management skills.
· Proficiency in CRM systems, Microsoft Office Suite, and real estate-specific software.
· Excellent communication and leadership abilities.
· Detail-oriented with the ability to multitask and prioritize effectively.
