PURPOSE:
The Dispatch Supervisor oversees and coordinates the daily operations of the dispatch team, ensuring efficient routing, timely deliveries, and optimal service quality. This role requires a highly organized individual with strong leadership skills, able to motivate a team in a fast-paced environment, resolve logistical challenges, and communicate effectively with drivers, customers, and other departments.
ESSENTIAL FUNCTIONS:
- Team Leadership & Supervision:
- Lead and mentor a team of dispatchers, ensuring productivity, compliance, and high morale.
- Conduct regular team meetings and provide constructive feedback and training opportunities.
- Manage scheduling, coverage, and workload balancing to meet operational needs.

Dispatch Operations:
- Oversee daily dispatch activities, including route planning, assigning drivers, and tracking deliveries.
- Monitor real-time dispatch status and adjust as needed to address delays, customer requests, and unexpected issues.
- Utilize dispatch software and tracking systems to ensure accuracy and efficiency.

Communication & Coordination:
- Serve as the primary point of contact for customer service teams, handling escalated inquiries and resolving customer issues promptly.
- Communicate with drivers to provide instructions, resolve issues, and ensure compliance with company policies.
- Collaborate with warehouse, maintenance, and other departments to facilitate efficient, timely deliveries.

Performance & Reporting:
- Monitor key performance indicators (KPIs) and ensure goals are met for on-time delivery, route efficiency, and customer satisfaction.
- Generate and analyze daily, weekly, and monthly reports on dispatch performance, highlighting trends and areas for improvement.
- Investigate and report on any delivery discrepancies or accidents, working with management to implement corrective actions.

Safety & Compliance:
- Ensure dispatch and delivery practices align with regulatory requirements and company safety standards.
- Conduct routine checks on vehicle maintenance schedules, driver logs, and compliance with Hours of Service (HOS) regulations.
- Participate in safety training and enforce adherence to safety protocols.

LEADERSHIP:
- Plan, delegate, and control work assignments
- Review salaries/wages of others and recommend changes as appropriate.
- Recommend new hires, promotions, transfers, demotions, disciplinary action, and terminations of employment.
- Conduct performance reviews.
COMPETENCIES/SKILLS:
- Strong leadership and team management skills.
- Excellent organizational and problem-solving abilities.
- Proficiency in dispatch software and Microsoft Office Suite (Excel, Word, Outlook).
- Ability to communicate effectively across teams and handle high-pressure situations
PHYSICAL REQUIREMENTS & WORKING CONDITIONS:
- Ability to sit or stand for extended periods.
- Occasionally required to lift items up to 50lbs, if applicable
- Fast-paced environment with frequent deadlines and operational demands.
- Requires open availability as needed to support operations.
EDUCATION & EXPERIENCE:
- High school diploma or GED required; bachelors degree in logistics, transportation, or a related field preferred.
- Minimum of 3 years of experience in dispatch, logistics, or a supervisory role in a related field.
