Job Summary: The Dispatch Supervisor will oversee a team of dispatchers, ensuring efficient scheduling and coordination of landscaping, snow removal, and parking lot sweeping services. This role is responsible for managing day-to-day operations, optimizing service routes, and supervising the dispatch team while also supporting the finance, recruiting, sales, and subcontracting efforts. The Dispatch Supervisor plays a key role in ensuring customer satisfaction, maintaining operational efficiency, and supporting various administrative and operational functions within the company.
Key Responsibilities:
Team Leadership & Supervision:
- Supervise, train, and mentor a team of dispatchers to ensure efficient and effective service delivery.
- Provide guidance and assistance with problem-solving, ensuring all dispatchers follow company protocols.
- Conduct performance evaluations and provide feedback to improve team performance and customer satisfaction.
Scheduling & Route Optimization:
- Oversee daily scheduling and dispatching of crews for landscaping, snow removal, and parking lot sweeping services.
- Coordinate the most efficient routes to reduce operational costs and improve response times, especially during peak seasons.
- Adjust schedules as needed based on customer requests, weather conditions, or other operational factors.
Operational Coordination:
- Ensure seamless communication between dispatchers, field crews, and management to ensure all jobs are completed on time and meet quality standards.
- Monitor and adjust schedules during high-demand periods, including snowstorms or busy landscaping seasons.
- Ensure crews have all necessary resources and equipment to complete assigned jobs.
Customer Service Management:
- Resolve complex customer inquiries or complaints, ensuring quick and professional solutions.
- Maintain positive customer relationships by addressing service issues, schedule changes, and any special service requests.
- Provide consistent updates to customers regarding service progress and delays.
Performance Monitoring & Reporting:
- Track and evaluate the performance of the dispatch team and service crews to identify areas for improvement.
- Generate and review daily, weekly, and monthly reports related to service performance, staffing, and customer feedback.
- Review Key Performance Indicators (KPIs) to ensure operational goals are being met.
Assisting Finance:
- Collaborate with the finance team in reviewing services rendered and ensuring proper documentation for customer billing.
- Assist in verifying service records, hours worked, and any additional charges to prepare accurate customer invoices.
Subcontractor Sourcing & Negotiation:
- Assist in sourcing new subcontractors for specialized services or high-demand periods.
- Negotiate terms, pricing, and contracts with subcontractors to ensure favorable agreements for the company.
- Maintain relationships with existing subcontractors to ensure service quality and compliance with contract terms.
Recruitment & Hiring Support:
- Assist in the recruitment and hiring process for dispatchers, field crews, and other operational staff.
- Participate in job postings, interviewing candidates, and onboarding new employees.
Sales Team Support:
- Assist the sales team with administrative tasks related to projects, including preparing documentation, contracts, and service schedules.
- Help manage and track customer leads and service proposals as needed.
- Provide logistical support for sales initiatives or special projects that require administrative involvement.
Compliance & Safety:
- Ensure all dispatching activities comply with safety regulations, company policies, and local regulations.
- Monitor and enforce safety practices for field crews and ensure that equipment is maintained and safe to use.
Qualifications:
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
- Previous experience in dispatching, operations management, or a supervisory role, preferably within the landscaping, snow removal, or facilities services industries.
- Strong leadership skills and experience managing a team.
- Excellent organizational, communication, and multitasking abilities.
- Proficiency with dispatch software, scheduling tools, and standard office software (Excel, Word).
- Experience in negotiating with subcontractors, working with finance teams on billing processes, and supporting recruitment efforts is a plus.
- Ability to work under pressure during peak seasons or emergencies, such as snowstorms.
Physical Requirements:
- Ability to work in an office setting for extended periods.
- Occasional visits to field locations to monitor operations or assist with specific tasks.
Work Hours: Schedule can change depending on company needs below is what the schedule typically looks like:
- While your official office hours are from 7 AM to 5 PM, the nature of the job means that there are times when the responsibilities extend beyond those hours. As a Dispatch Supervisor, you are responsible for the coordination and management of the dispatch team 24/7, which may sometimes require your attention outside of typical office hours.
- Because the role is salaried, we want to provide flexibility in how and when you handle these responsibilities. You may not always need to be in the office or working continuously, but there will be situations where you’ll need to handle urgent issues or provide guidance to your team, whether it’s early in the morning, late at night, or during weekends.
- Landscaping, snow removal, and parking lot sweeping services often have unpredictable schedules and weather-related factors. For example, during snowstorms or peak seasons, your team may need your supervision and guidance around the clock, especially to manage emergencies or last-minute changes to schedules. This may require you to be available outside of the standard workday.
- Part of your role is ensuring that the dispatching team runs smoothly at all times, so being available when needed is key to making sure customer needs are met. This could mean checking in on the team after hours or being reachable if there’s a sudden issue that needs resolution.
- While you may have to work outside of typical office hours on occasion, we understand the importance of work-life balance. We will do our best to ensure that, when possible, the workload is distributed evenly and the necessary adjustments are made so that you can manage your time effectively and maintain a healthy balance."
