What are the responsibilities and job description for the Warranty and Cancelation Clerk position at Arrowhead BMW?

The Warranty and Cancelation Clerk will handle all aspects of new and used inventory in accounting in a timely and accurate manner, along with submission and cancellation of all products sold throughout the dealerships. This is a traditional accounting role that manages transactional posting of dealership activities, accounting acumen is required. High performers will build upon their accounting acumen and deeper knowledge in the industry while also building relationships and skills. This will serve them well on a path to growth within the accounting department.

ESSENTIAL FUNCTIONS AND DUTIES

· New Vehicle Inventory – Follow all detailed processes including, pre-stock incoming new vehicles into CDK and updating vehicle status and accounting posting immediately when notified of vehicle arrival.

· Used Vehicle Inventory: Purchases (street and auction), transfers, and Lease Buyouts – Follow all detailed processes including, pre-stock incoming purchases into CDK and updating vehicle status and accounting posting immediately when notified of vehicle arrival.

· Issue or Post payment Check, ACH, or Flooring Advance for used inventory.

· Ensures NPS and sales ranking data is pulled and reports are emailed by store, daily by 9am.

· Ensure loaner milage is updated weekly.

· Reviews any KAHUs that are off the lot and report issues to management

· Audits Keyper and notifies management if any issues

· Sending out weekly reporting accurately and in a timely manner to include:

o Pipeline Reporting

o Incoming used report

o Loaner Vehicle Reporting

o Kahu/Keyper report

· Once a month, by the 10th, perform full book and key audit at each store, bringing any issues to managements attention.

· Review all product applications for accuracy including pricing and lienholder information

· Submit all products and submit payment in a timely manner

· Process product cancellations including completing all necessary documents, following up for cancellation quotes, issuing refunds in a timely manner to ensure proper entities are receiving funds due.

· Confidentiality with all client and company information to ensure it is protected.

· Other duties as assigned.

· Constructively communicate with other dealership personnel.

· Report to management any situation or condition that jeopardizes the safety, welfare, or integrity of the dealership, its personnel, or customers.

· Maintain personal grooming, hygiene, and uniform standards according to departmental policies.

· Arrive at work, take breaks, and depart work at the times designated by management.

· Attend meetings and trainings as scheduled.

· Ensure that work areas and customer waiting areas are kept clean

Job Type: Full-time

Pay: From $18.00 per hour
