We are looking for a highly organized and motivated HR & Payroll Support Specialist to join our team. This role will provide vital administrative support to the HR and Payroll departments, ensuring smooth and efficient processing of payroll, benefits, and day-to-day HR operations. As an HR & Payroll Support Specialist, you will be the go-to resource for assisting employees, handling sensitive payroll information, and ensuring compliance with company policies and procedures.
Key Responsibilities:
- Payroll Support:
- Assist with the processing of payroll, ensuring accuracy and timeliness for all employees.
- Reconcile payroll with the general ledger and monthly bank statements, ensuring consistency with benefit activity.
- Maintain and update employee payroll records, including pay rates, hours worked, deductions, and benefits enrollment information.
- Respond to payroll-related inquiries from employees and resolve any discrepancies.
- Assist with the preparation and submission of federal, state, and local payroll tax filings.
- Help with the preparation of year-end payroll documentation, including W-2 forms.
- HR Support:
- Assist with onboarding new employees, including preparing paperwork, conducting orientations, and entering data into the HRIS.
- Maintain employee records in the HRIS system, ensuring all information is current and accurate.
- Support benefits administration, including enrollments, changes, and terminations, and answer employee questions related to benefits.
- Assist with employee leave management, including tracking sick leave, vacation, and other types of leave.
- Provide administrative support for performance reviews, training programs, and employee recognition initiatives.
- Compliance & Reporting:
- Ensure compliance with company policies, federal, state, and local regulations related to payroll, benefits, and HR operations.
- Generate payroll and HR reports as needed for management and compliance purposes.
- Help with audits, both internal and external, related to payroll and employee records.
- General Administrative Support:
- Answer general HR and payroll inquiries, providing accurate and timely information to employees and management.
- Maintain filing systems for payroll, HR, and benefits documentation.
- Assist with other HR-related tasks and special projects as needed.
What We’re Looking For:
- Education & Experience:
- A Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent work experience).
- At least 1-2 years of experience in payroll and HR administration.
- Familiarity with HRIS and payroll systems (experience with UKG is a plus).
- Skills & Abilities:
- Strong understanding of payroll processing and related compliance requirements.
- Exceptional attention to detail and accuracy.
- Excellent communication skills, both written and verbal.
- Ability to handle sensitive and confidential information with discretion.
- Strong problem-solving and organizational skills.
- Proficiency in Microsoft Office Suite, especially Excel.
- A customer service-oriented mindset with the ability to work collaboratively across departments.
