Office Manager Job Description
This role will support the firm in all aspects of office management and operations, including accounting/billing, HR, IT, and executive assistance.
The ideal candidate will be polished, professional, have a positive attitude, and be able to work independently. Previous experience working in a similar type of office (financial, investment, tech, startup or similar) is preferred.
- Manage accounts payable and billing
- Assist with general HR duties
- Oversee support from outsourced IT service provider
- Coordinate office vendors, supplies, shipping, and receiving
- Prepare expense reports for office purchases
- Undertake various office projects, scheduling, and coordination as assigned
- Provide executive assistance, including calendar and inbox management, meeting preparation, research, and events
Responsibilities & Duties
As an Office Manager, you will be responsible for:
- Managing daily office operations, ensuring smooth execution of tasks and projects
- Supporting the team with administrative tasks, such as data entry, email management, and travel arrangements
- Collaborating with the leadership team to develop and implement strategic initiatives
- Maintaining accurate records and databases, ensuring up-to-date information and compliance
- Communicating effectively with internal and external stakeholders, providing exceptional customer service
Requirements & Qualifications
To succeed in this role, you will need:
- Self-starter with strong organizational skills and the ability to prioritize tasks effectively
- Strong attention to detail and ability to maintain accuracy in a fast-paced environment
- Technically savvy, with the ability to quickly learn new systems and tools
- Experience with Google Suite and MS Office, specifically Word and Excel
- Excellent communication and interpersonal skills, with the ability to build strong relationships
- Previous experience working in a front desk or office admin capacity, preferably in a similar industry
