Office Manager Job Description

This role will support the firm in all aspects of office management and operations, including accounting/billing, HR, IT, and executive assistance.

The ideal candidate will be polished, professional, have a positive attitude, and be able to work independently. Previous experience working in a similar type of office (financial, investment, tech, startup or similar) is preferred.

  • Manage accounts payable and billing
  • Assist with general HR duties
  • Oversee support from outsourced IT service provider
  • Coordinate office vendors, supplies, shipping, and receiving
  • Prepare expense reports for office purchases
  • Undertake various office projects, scheduling, and coordination as assigned
  • Provide executive assistance, including calendar and inbox management, meeting preparation, research, and events

Responsibilities & Duties

As an Office Manager, you will be responsible for:

  1. Managing daily office operations, ensuring smooth execution of tasks and projects
  2. Supporting the team with administrative tasks, such as data entry, email management, and travel arrangements
  3. Collaborating with the leadership team to develop and implement strategic initiatives
  4. Maintaining accurate records and databases, ensuring up-to-date information and compliance
  5. Communicating effectively with internal and external stakeholders, providing exceptional customer service

Requirements & Qualifications

To succeed in this role, you will need:

  • Self-starter with strong organizational skills and the ability to prioritize tasks effectively
  • Strong attention to detail and ability to maintain accuracy in a fast-paced environment
  • Technically savvy, with the ability to quickly learn new systems and tools
  • Experience with Google Suite and MS Office, specifically Word and Excel
  • Excellent communication and interpersonal skills, with the ability to build strong relationships
  • Previous experience working in a front desk or office admin capacity, preferably in a similar industry

Please note that the salary range for this position is $75,000 - $85,000 per year, plus benefits.
