Executive Director of Administration and Finance
Position Description:
Reporting to the President and Chief Executive Officer, the Executive Director of Administration and Finance serves as the Art Academy of Cincinnati (AAC) executive financial administrator. Working directly with the President, AAC Board, and leadership team, overseeing all aspects of AAC’s finance, financial aid, facilities, human resources, and information technology. This role serves as the point person for day-today decision making related to financial policies and controls, organizational structures, and personnel management. Keeping AAC’s mission and commitment to DEI as a central focus, the Executive Director of Administration and Finance will develop and implement practices that support faculty and staff as they work to ensure student success on all levels. The Executive Director will also work with the President and Board of Trustees to ensure AAC is operating in and efficient and fiscally responsible manner.
Essential Job Functions:
- Provides strategic leadership and supervision of the following departments: Finance and Accounting (including student billing), Financial Aid, Human Resources, Facilities, and Information Technology.
- Evaluates processes and procedures and develops strategies and implementation plans to improve operations and cost benefit.
- Develops, monitors and administers budgets to maintain efficient, high-quality services.
- Facilitates and oversees the annual audit by supplying auditors with all necessary information to create the audited year-end financial statement and the annual 990 tax forms.
- Maintains an internal control system to ensure that financial transactions are based upon established procedures as required by the United States Department of Education, the State of Ohio and the Board of Trustees’ policies and procedures.
- In collaboration with the President and Board, oversees the review of all contracts and agreements for materials where funds are being expended by the college; approves or coordinates the approval of contracts in accordance with the State of Ohio policy, Academy procedures and the Office of the Ohio Attorney General.
- Approves all month end account reconciliations in collaboration with AAC’s Director of Finance and Director of Financial Aid.
- Manages AAC external banking vendor relationship.
- Reviews and approves bi-weekly payroll.
- Oversees/approves invoices and purchasing card expense reports.
- Works as a liaison for key contracts for the Academy in collaboration with the President and appropriate staff members.
- Executes on financial and operation aspects outlined in the strategic plan.
- Identifies the need for changes in policies, procedures and processes and implements these changes successfully within the institution.
- Facilitates positive relations among staff and students by modeling managerial best practices.
- Fosters a supportive, mission-driven culture that empowers staff to perform at their best.
- Works collaboratively with other administrators and department heads and servers as an internal consultation.
- Leads bi-weekly AAC leadership meetings.
- Creating monthly journal entries related to AAC’s endowment.
- Serves as a member of AAC’s Finance Committee and works directly with AAC’s Board Treasurer to facilitate committee meeting.
- Prepares monthly AAC financial reports and departmental budget reports.
- Leads AAC annual budget process by working collaboratively with AAC department heads, the President, the Finance Committee and Board of Trustees.
- Responsible for initiating Title IV funds draw down from US Department of Education.
- Provide financial reporting data for accreditors, IPED reports and any other regulatory reporting requirements.
- Others duties as assigned by President and AAC Board of Trustees.
Required Qualifications:
- Bachelors in Finance or Accounting or related field
- Several years of experience in leadership/operational roles
- 8 years of financial management experience
- Strong leadership skills
- Excellent communication abilities
- Proven problem-solving capabilities
- A deep understanding of financial management and strategic planning to oversee day-to-day administration and drive organizational efficiency
- Advanced Excel experience
Preferred Qualifications:
- MBA and/or CPA
- Experience in non-profit accounting

Salary : $75,000 - $90,000
