Summary Of Position
The Operations Assistant plays a key role in supporting the day-to-day operational activities of our rapidly expanding property management team. The Operations Assistant will ensure smooth, efficient, and consistent business practices and extreme ownership of administrative tasks. This role will collaborate with all other departments to facilitate seamless operations, contributing to the overall success of ARTISAN.
Principal Accountabilities
- Conduct all business under ARTISAN policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other Federal and State laws.
- Assist with managing operations to ensure processes run efficiently and effectively.
- Provide administrative support to the Senior Vice President of Operations and other executive leadership, including scheduling, data entry, and preparing and distributing reports, presentations, and other documents Prepare and maintain various documents, spreadsheets, and reports to track operational performance.
- Respond to inquiries from internal teams and partners, providing timely and accurate information.
- Assist in managing operational expenses at the corporate level. Prepare budget updates, track expenses and maintain accurate financial records.
- Coordinate logistics for meetings, events, and projects, ensuring all necessary materials and resources are available.
- Coordinates orders and maintains inventory tracking of company apparel and merchandise, ensuring cost efficiency and adherence to brand standards
- Assist with project coordination, ensuring deadlines are met and deliverables are received.
- Handle confidential information with discretion and maintain the highest level of professionalism.
- Answer phones and respond to emails professionally and promptly.
- Schedule and coordinate meetings, inspections, and events.
- Prepare, review, distribute, and maintain vendor contracts.
- Manage office supplies and ensure the office is well-organized and functional.
- Ensure all files and processes comply with company policies and industry regulations.
- Support in coordination for onboarding new employees with HR and Training and Development teams.
- Other duties as assigned.

- High school diploma or equivalent is required; college-level education is highly preferred.
- 5 years of experience in an administrative role, property management experience preferred
- Strong computer proficiency, including electronic communications, CRM, Microsoft Office, Microsoft Excel, Microsoft Outlook, and property management software, AppFolio preferred.
- Exceptional organizational skills and the ability to multitask and prioritize effectively.
