Position is based at 5208 Village Parkway, Suite 4, Rogers, AR 72758. Position requires availability Monday through Friday 8:00 am to 5:00 pm with additional hours as needed.

Job Title: WACO Closing Assistant

The WACO Closing Assistant assists Closing Processors and Closing Agents, as needed, by receiving and reviewing contract orders and preparing correspondence. The incumbent provides clerical services to the Closing department, including answering telephone lines, taking accurate notes, directing visitors and callers to the appropriate team member, and responding to customers’ emails. In addition, the incumbent maintains departmental files and confidential customer and departmental records.

What You Will Do at Arvest: (Other duties may be assigned.)

• Receive and review contract files for missing information, collect missing documents, verify signatures, and contact customers, agents and contractors with questions and requests in coordination with the Closing Agent/Manager.

• Order preliminary closing requirements such as termite services, homeowner dues, home warranties and other information as needed. Submit new customer orders to the centralized order entry department.

• Manage individual and shared email inboxes to ensure timely responses. Manage personal and shared calendars to reflect closing appointments, scheduled meetings, and events accurately.

• Demonstrate the ability and willingness to work with customers courteously and professionally while protecting the interests of the company, the lender(s), borrowers and sellers, vendors, and internal stakeholders in the transaction.

• Deliver first impressions and a welcoming environment. Greet the customer by name. Prepare the lobby and closing rooms before the customer’s arrival by stocking them with pens, creating a professional environment, and housekeeping. Maintain a clean desk. Organize and document all customer deliveries or customer document pickups.

• Answer phones for the closing branch. Support customer and referral partner inquiries and take accurate and detailed messages for the closing team. Follow up with the customer as needed to describe when to expect a response from the closing team.

• Provide file and communication support to the closing associates by accepting and following through with delegated tasks, including but not limited to scheduling coordination of closing appointments and maintaining accurate system notes.

• Participate in branch sales and marketing initiatives as assigned.

• Assist the Closing Manager in monitoring and tracking the branch’s sales budget. Research and compile data for use in files, presentations, and meetings.

• Reconcile various accounts, such as expense reports and petty cash funds. Monitor the use of the company car, including accurate mileage logs and maintenance services. Print checks, deliver documents and checks, run errands, coordinate mail courier exchanges, and make daily deposits.

• Support Closing Agent, Processor, peer Closing Assistants, and other administrative duties as assigned by the Closing Manager.

• Support facilities management duties, including opening and closing of the office, ensuring closing rooms, lobbies, and the entirety of the facility are tidy and professional in appearance. Coordinate with Facilities Management, Branch Operations, and field technicians as required.

• Establish and maintain a cadence for inventory reconciliation. Order office supplies, marketing materials, closing materials, check stock, etc., promptly. Ensure the correct quantity is ordered to eliminate excess or depletion is not an issue. Ensure organized storage of inventory.

• Provide post-closing support to the closing team by helping customers obtain a copy of the final title policy. Monitor escrow account balance reports and follow procedures for outstanding checks, refunds, and negative file balances.

• Participate in team, company, referral network and/or community events as needed and assigned.

• Maintain department policy and procedures manual. Participate in assigned departmental training sessions.

• BSA/AML Program, as applicable to your job duties. This includes but is not limited to completing compliance training and adhering to internal procedures and controls; reporting any known violations of compliance policy, laws, or regulations; and reporting any suspicious customer and/or account activity.

Required Toolbox for Success:

High school diploma or general education degree (GED).

1 year of professional business experience.

Proficiency in Google Workspace.

Preferred Toolbox for Success:

Experience with customer service positions.

Associate degree.

Relevant military experience is considered for veterans and transitioning service members.
