Position is based at 109 Court Street, Huntsville, AR 72740. Position requires availability to work Monday through Friday 8 am to 5 pm with additional hours as needed.
SUMMARY: The Closing Agent will serve as a transaction specialist and work directly with other closing department associates and customers including, but not limited to, buyer, seller, REALTOR®, lender, or attorney to understand, analyze and ensure title and lender requirements are met and documents are properly prepared and executed for each closing transaction following ALTA’s Best Practices. The incumbent will provide exemplary customer service and be available to meet with customers as needed. The incumbent is responsible for maintaining an order pipeline, closing files and revenue for both acquired and assigned files and works to ensure the company’s assets are safeguarded. The incumbent will actively work with their manager, Business Development Representative or Sales Team to formulate a proactive and disciplined approach to customer retention and generating growth.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.
1. Responsible for developing and building personal pipeline (closing and sales), file closings and overall individual performance.
2. Maintain and develop relationships with customers and prospects through internal and external referral sources, organization involvement, community involvement, and target marketing specific to the industry to ensure pipeline targets are achieved.
3. Identify and determine what requirements must be met before closing by analyzing title insurance commitments, real estate, contracts and/or lender requirements. Satisfy requirements prior to outlined or contractual closing dates.
4. Analyze and evaluate each transaction to determine and ensure proper policy coverage to protect the owner's interests.
5. Prepare Settlement Statements for closings including collaboration with the lender of the Closing Disclosure for final balancing of the file.
6. Distribute settlement statements to all parties involved with the transaction.
7. Facilitate closing transactions by explaining the documents to customers, obtaining required signatures and notarizing as necessary for issuing a Title Insurance Policy, and recording within respective counties.
8. Post and deposit closing funds and obtain funding authorization, if needed. Disburse settlement invoices and fees to balance and close the file.
9. Ensure Sales Contracts and Lender Orders are executed accurately and in a timely manner.
10. Serve as a resource to REALTORS®, buyers/sellers, lenders, builders, and other customers regarding closing procedures and/or title questions.
11. Communicate effectively and efficiently with all parties to ensure the transaction consummates within the required time frame or by contractual dates and all parties are aware of closing expectations and details.
12. Deliver the WACO experience including but not limited to selling WACO Products and Services.
13. Responsible for resolving post-closing requirements including but not limited to, obtaining mortgage releases, document corrections, and/or issuing refunds to customers as needed.
14. Maintain accurate file information by utilizing system or external reporting to ensure files are relevant, not stale and do not contain excess funds that extend beyond closing dates including but not limited to payoffs, refunds and invoices.
15. Understand and comply with bank policy, laws, regulations, and the bank's BSA/AML Program, as applicable to your job duties. This includes but is not limited to; complete compliance training and adhere to internal procedures and controls; report any known violations of compliance policy, laws, or regulations and report any suspicious customer and/or account activity.

Responsibilities:
QUALIFICATIONS REQUIREMENTS:

EDUCATION and/or EXPERIENCE:
- Associates Degree or equivalent experience or relevant military experience required. Relevant military experience is considered for veterans and transitioning service members.
- 2 years of closing processor and/or title experience or equivalent related experience required .
- Licensed Notary Public (or ability to obtain within 90 days) required.
- Licensed Title Agent (or ability to obtain within one year) required.
- Experience working across all levels of management and clients; also required to be skilled in handling demanding, high maintenance client requests with precision, accuracy and with a high level of customer service required.
- Exceptional consultative skills preferred: ability to probe, listen, clarify, and present information to advance sales transactions required.
- Bachelor’s degree in a related field preferred.
- Leadership experience preferred.
