Job Overview
We are seeking a dedicated and skilled Medical Assistant Manager to join our healthcare team. The ideal candidate will play a crucial role in providing high-quality patient care. This position requires a strong understanding of medical procedures and the ability to assist healthcare professionals effectively.

Job Summary:

The Medical Assistant Manager will establish and implement short and long-range objectives for the assigned department, oversee related functions and activities, and administer company policies and procedures. The Assistant Medical Office Manager is required to act as a liaison between the operations director and staff and is in a multi-faceted position where various skills are utilized to enable Arya Medical Group to carry out its daily work and business efficiently. This position requires the ability to adjust changes while maintaining maximum production levels. This position provides supervision and guidance for the office patient care team and is directly involved with one-on-one patient contact and employee contact. This position also functions as an integral member of the patient care team in providing the highest quality of care to the patient.

Assistant Management Responsibilities:

  • May hire and train new staff or assist the Operations Director with this process.


  • Coordinates and oversees the day-to-day workflow of subordinate staff in the department.


  • As requested by the Operations Director, conducts or assists with performance evaluations that are timely and constructive.


  • Assist the Operations Director with employment actions, including discipline and termination of employees in accordance with company policy.


Duties/Responsibilities:

  • Monitors departmental performance, identifying and facilitating opportunities to increase productivity and efficiency.


  • Manages daily aspects of the department and its staff to ensure projects are completed and goals and patient needs are met.


  • Collaborate with Operations Director to plan, direct, and coordinate programs and projects.


  • Collaborate with the Operations Director to analyze costs, benefits, and losses of company profits.


  • Drafts, submissions, and presents various performance and reports.


  • Manages inventory, approving or facilitating purchases as needed; negotiates related pricing contracts and verifies costs and receipts.


  • Manages conflicts and resolves complaints about or within the department.


  • Performs other related duties as assigned.


  • Ensure that HIPAA and Patient Registration forms are updated at least yearly.


  • Answer billing summary questions for patients


  • Maintain confidentiality of all patient information according to federal guidelines and regulations.


  • Attend initial training and ongoing training as assigned to increase knowledge related to job position, patient safety, patient communication, management of staff and coordinating care for patients with chronic conditions.


  • Providers input/feedback to representative on the Performance Improvement Committee and/or submit Performance Improvement Form(s) to share ideas on improvement of workflow, improvement of patient care experience, etc.


  • Performs other related duties incidental to the work described herein.


Required Skills/Abilities:

  • Excellent verbal and written communication skills.


  • Ability to create and present ideas, reports, and budgets in various formats.


  • Ability to work both independently and collaboratively.


  • Excellent time management skills with the ability to assign and delegate tasks.


  • Proficient with Microsoft Office Suite or related software.


  • Excellent organizational skills and attention to detail.

  • Able to take and follow through with delegated tasks and accountability.


  • Commitment to the concepts of preventive health care program and team approach to health care delivery.

Education and Experience:

  • Associate’s degree in the medical field required.


  • One year of related experience in the industry is required as a medical assistant with a certificate.


  • Knowledge of the philosophy, mission, leadership, and planning needs of the organization preferred.


Physical Requirements:

Requires sitting or standing for long periods of time, working in an office and clinical environment. Able to stoop, kneel, bend at the waist, and reach on a daily basis. Able to lift and move up to 15 pounds occasionally. Working under stress and using the telephone is required. Manual dexterity required for the use of calculators, computer keyboards and other office machines. Hearing and vision corrected to normal range. Must be a team player and possess excellent patient service skills

Skills

  • Proficient knowledge of anatomy and medical terminology.
  • Experience in dermatology, internal medicine, or urgent care settings is preferred.
  • Familiarity with medication administration protocols.
  • Ability to work effectively in both inpatient and outpatient environments.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills to interact with patients and healthcare staff.
  • Ability to work collaboratively within a multidisciplinary team.
