We are seeking a highly organized and proactive Transaction Coordinator / Executive Assistant to join our team. This role is crucial in supporting our agents, clients, and overall business operations.
In this role, you will manage real estate transactions, coordinate with clients and vendors, and provide essential administrative support to ensure our business runs efficiently. The ideal candidate is detail-oriented, personable, and thrives in a fast-paced environment.

Responsibilities:- Prepare and organize Buyer Representation Agreements & Listing Agreements.
- Track and update contingency deadlines (inspections, financing, title, etc.).
- Ensure contracts, addendums, and disclosures are properly executed.
- Monitor incoming purchase agreements and contracts via email.
- File all required documentation in Skyslope for compliance review.
- Schedule and confirm inspections, appraisals, photography, and client meetings.
- Conduct weekly Friday check-in calls with clients.
- Manage three-way text communication with clients.
- Greet clients at the elevator, reserve conference rooms, and offer refreshments.
- Meet daily with Trevor and Sarah to review active transactions and projects.
- Oversee and update Asana task management.
- Monitor Trevor and Sarah’s calendar and email for urgent items.
- Assign administrative tasks to VA (Claire) and ensure completion.
- Set up and send monthly marketing emails via Constant Contact.
- Prepare and send LOTH and Evidence of Success mailers.
- Help plan and implement quarterly VIP client events.
- Highly organized and detail-oriented – capable of managing multiple transactions and deadlines.
