Position Title: Administrative Assistant to the Dean and Associate Dean of the School of Mission and Ministry

Pay Rate: $15.00 per hour
Hours: 37.5-40 per week
Position Summary: The administrative assistant to the Dean and Associate of the E. Stanley Jones School of Mission and Ministry (SMM) provides administrative support to the Dean and Associate Dean in all aspects of the administration of the school, as well as providing clerical support to the faculty of SMM. The Administrative Assistant ensures that the SMM office operates effectively, efficiently, hospitably, and professionally. This position interacts regularly with seminary administration, faculty, staff, and students. This position also performs complex, confidential, and diversified administrative duties.
The ESJ School of Mission and Ministrys purpose is to prepare evangelists, church multipliers, missionaries, national and international leaders, pastors, mission and ministry teachers, evangelism leaders, executives, and scholars for the apostolic mission of the church. In preparing graduates for faithful and effective mission and ministry, students learn to approach these areas amidst the distinctive regions, cultures, religious traditions, worldviews, and the social, political, and economic struggles within todays globalized context. The ESJ School of Mission and Ministry prepares students for the informed, responsible, and effective practice of mission and ministry across cultures. The School oversees the Ph.D. [Intercultural Studies], Th.M. [IS], and MA degrees in IS, Leadership, Christian Ministries, Ministry, and a Bilingual (Spanish/English) MA in Ministry. The School also offers several Certificate Programs.
Essential Functions:
1. Assist the Dean and Associate Dean with Administrative Duties
- Scheduling: Coordinate the Deans calendar; organize meetings, special events and conferences. Arrange domestic and international travel bookings.
- Academics: Accurately manage course scheduling, degree program details, and communication with all full-time and adjunct faculty. Administrate details of Independent Study/Courses. Organize and maintain SMM syllabi files. Administer Adjunct Faculty contracts.
- Budget: Process travel expense reports and requests for reimbursement, maintenance of accurate budget categories and reporting. Oversee Student Support payroll, process faculty overloads and adjunct compensation.
- Missiology Seminar: Coordination of the seminar, including meeting room preparation. Communication with guest speakers and faculty.
- Reports: Professional presentation, accurate data collection and writing for all required reports, i.e. Cabinet Reports, Board Reports, Annual Assessments, etc.
- Communication: Serve in a public relations role to campus guests as well as administration, faculty, staff, and students. Liaise with the Communications Department for publicity and promotions.
- Coordinate logistics dealing with the annual Kingdom Conference.
- Minutes: Records and distributes meeting minutes.
- Other duties as assigned.
Assist SMM Faculty
- Clerical support to faculty members
- Logistical support to faculty members
Manage the SMM Office
- Organize, order, and maintain office and hospitality supplies.
- Receive and process phone calls, emails, fax messages.
- Organize and maintain office files.
- Supervise Student Workers.
Hospitality
- Maintain SMM lounge for daily student use and the weekly Missiology seminar as well as special events.
- Welcome and host students and campus guests to the SMM office and events.
- Cultural sensitivity to work with domestic and international student populations
Kingdom Conference
- Logistical support to committee members beginning spring semester.
- Host speaker while she/he is on ATS campus.
- Be available to help the week before, during and after the conference.
Education and Experience Requirements
- 3 years experience in Higher Education administration.
- Bachelors Degree required.
- Excellence organizational skills with a strong attention to detail.
- Demonstrated proficiency in Microsoft Office Suite.
- Critical thinking skills, initiative, and ability to work independently.
- Outstanding written and verbal communication and interpersonal skills, with a proven ability to interact comfortably with a wide range of diverse people, including but not limited to, students, faculty, administration, alumni, donors, and the general public.
