JOB TITLE: SPA
FRONT DESK RECEPTIONIST

Department: Operations
Reports to: MedSpa Manager
FLSA Status: Non-exempt

SUMMARY
The Spa Front Desk Receptionist is the first point of contact for clients, setting the tone for an exceptional spa experience. This role ensures seamless operations by providing outstanding customer service, managing client check-ins and appointment scheduling, processing payments, and maintaining a welcoming and organized front desk area. As an integral part of the team, the Spa Front Desk Receptionist contributes to the spa's reputation for excellence by fostering a warm and professional environment where every client feels valued and cared for.

ESSENTIAL DUTIES AND RESPONSIBILITIES
(Other duties may be assigned)
  • Greets/Welcomes clients as they check in;
  • Schedules appointments via phone and in person;
  • Show clients to relaxation room and restrooms;
  • Call clients to confirm appointments;
  • Instructs new clients in completion of medical history and information forms, and makes any necessary corrections to the client accounts;
  • Scans all new client or updated client information into computer (including: new patient paperwork, consent forms);
  • Enters bills for services performed and collects payment after service;
  • Maintain inventory count of products and check them out at time of sale;
  • Assist in washing and drying of linens for the providers;
  • Hourly checks of relaxation room and restrooms to ensure cleanliness and items are properly stocked;
  • Responsible for closing the spa at the end of each day and ensure all payments are correct to hand off to supervisor.
  • Keeps front desk and lobby clean and organized.
  • Other duties as assigned.

QUALIFICATIONS

EDUCATION AND EXPERIENCE
  • High School diploma or equivalent
  • One to two years of experience in customer service or reception, preferably in hospitality.

SKILLS/ABILITIES
  • Basic Computer skills
  • Strong customer service
  • Ability to communicate clearly and concisely in all written and oral communications, including email.
  • Strong organizational skills with great attention to detail
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Demonstrated conflict management skills

PHYSICAL DEMANDS
While performing the duties of this job, employee is regularly required to sit, stand, walk, reach with hands and arms, and to talk and hear. Employee may be occasionally required to climb or balance, stoop, kneel, or crouch. Employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

WORK ENVIRONMENT
While performing the duties of this job, employee may be exposed to risk of infectious diseases when interacting with patients and/or family members. The employee may be occasionally exposed to wet and/or humid conditions, moving mechanical parts, fumes or airborne particles, toxic or caustic chemicals and vibration. The noise level in the work environment is usually moderate.
